As we continue to expand, we are seeking a detail-oriented and dependable Payroll & Billing Coordinator to support our accounting and operational teams.
Position Summary
The Payroll & Billing Coordinator will be responsible for managing end-to-end payroll processing and customer invoicing while ensuring accuracy, compliance, and timeliness. This role plays a critical part in supporting financial operations and delivering excellent service to both employees and clients.
Key Responsibilities
- Process weekly/bi-weekly payroll for employees, ensuring accuracy and compliance with federal, state, and local regulations
- Maintain employee payroll records, including deductions, benefits, and tax information
- Handle payroll-related inquiries from employees in a timely and professional manner
- Coordinate with HR on new hires, terminations, and compensation changes
- Prepare and submit payroll tax filings and reports
- Ensure compliance with wage and hour laws and company policies
- Billing & InvoicingGenerate and issue customer invoices accurately and in a timely manner
- Review billing data for completeness and discrepancies prior to invoicing
- Partner with internal teams (operations, sales, project managers) to ensure billing accuracy
- Monitor accounts receivable and follow up on outstanding invoices as needed
- Assist with cash application and reconciliation of billing records
- Maintain accurate documentation of customer billing terms and contracts
- Assist with month-end close processes related to payroll and billing
- Prepare reports and reconciliations as needed
- Support audits and provide documentation upon request
- Identify and recommend process improvements for payroll and billing efficiencies
Qualifications
- Associate or Bachelor’s degree in Accounting, Finance, Business, or related field preferred
- 1 years of experience in payroll, billing, or accounting support
- Strong knowledge of payroll systems and basic accounting principles
- Familiarity with ERP or accounting software (e.g., QuickBooks, ADP, Paychex, or similar)
Proficiency in Microsoft Excel and Office Suite
Salary : $40,000 - $60,000
