Reporting to senior operations leadership, this role is responsible for overseeing day-to-day administrative operations, ensuring efficient clinic workflow, supervising front office staff, and maintaining compliance with all regulatory and organizational requirements. This is a hands-on leadership role ideal for someone who thrives in a fast-paced, service-oriented environment.Essential ResponsibilitiesOversee daily administrative operations to ensure the smooth and efficient functioning of the officeDevelop, maintain, and implement office policies, procedures, and workflowsManage client intake, scheduling, and front desk operationsImplement and monitor systems to ensure an organized, efficient reception areaEnsure referrals are processed accurately and entered timely into the electronic medical record (EMR) systemManage insurance processes including verification, referral tracking, copay collection, documentation follow-up, and client status monitoringOversee billing processes, ensuring treatment notes are accurate, complete, and submitted in a timely mannerMaintain accurate client records within the electronic health record systemEnsure compliance with all regulatory requirements, agency policies, and confidentiality standardsAct as point of contact with program and clinical staff to ensure scheduling authorizations and operational needs are metServe as project manager for special initiatives, including planning, coordinating meetings, and supporting office-wide projects or eventsHandle confidential and sensitive information with discretion and professionalismProcess payroll through the ADP system for assigned staff, ensuring accuracy of hours and allocationsCompile and submit monthly operational and clinic reports to senior leadershipOrder and maintain office supply inventoryManage storage and maintenance of archived clinical records, including coordination with Iron MountainProvide front desk and reception coverage as neededSupport senior management and clinical staff with additional administrative projects as requiredSupervisory ResponsibilitiesDirectly supervise and support Administrative Assistant and front office staffTrain, mentor, and develop staff to enhance skills and performanceCommunicate and enforce agency and program policies and proceduresManage employee performance, providing ongoing feedback and coachingConduct performance evaluations and implement development plansEnsure staff are properly trained to meet regulatory, agency, and program standardsEnsure adequate staffing coverage to meet operational needsQualificationsMinimum of three (3) years of experience as an Office Manager, preferably within a medical or clinical settingStrong knowledge of office operations, scheduling, insurance, and billing processesExperience with EMR systems and ADP payroll preferredBilingual in Spanish preferred, but not requiredProven leadership and staff supervision experienceExcellent organizational, communication, and problem-solving skillsAbility to manage multiple priorities while maintaining attention to detailProfessional, discreet, and customer-service orientedPay Details: $28.00 per hourSearch managed by: Clare Rant Benefit offerings available for our associates include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits and a 401K plan.
