LHH is actively seeking an Administrative Assistant for one of our top clients in Orange County! This role will help support their Tax Department. This is a long term contract to perm opportunity with our client and will report onsite to their office in Costa Mesa.

Job Summary:
We are seeking a detail-oriented and proactive Administrative Support Specialist to provide high-quality support across multiple departments. This role is essential in ensuring smooth day-to-day operations, supporting leadership, and maintaining efficient administrative processes.

Key Responsibilities:
  • Provide administrative support across departments by completing standardized tasks using firm systems, tools, and software
  • Manage and respond to centralized administrative support tickets
  • Support additional administrative teams, offices, or national/market teams as needed, including assisting with e-filing for the national tax administration team
  • Coordinate and support large-scale meetings, conferences, and events, including scheduling with senior leaders, managing calendars, reserving meeting spaces, and overseeing catering and logistics
  • Assist the Office Administrator with vendor invoice coding and approvals; accurately process client invoices based on management input
  • Support onboarding and offboarding activities for employees
  • Prepare and submit expense reports through designated systems
  • Collaborate with management to onboard new clients, maintain client records, and support billing and ad hoc administrative requests
  • Produce a variety of professional documents, including correspondence, presentations, reports, and confidential materials
  • Provide tax-related administrative support on a seasonal or as-needed basis
  • Perform additional duties as assigned
Qualifications:

Education:
  • High School Diploma, GED, or equivalent (required)
  • Bachelor's degree (preferred)
Experience:
  • Minimum of 3 years of administrative experience (required)
  • Experience in a professional services firm (preferred)
Technical Skills:
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with ERP systems (preferred)
  • Familiarity with PeopleSoft or similar databases (preferred)

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced, deadline-driven environment
  • Exceptional attention to detail and accuracy
  • Excellent written and verbal communication skills, with strong grammar and professionalism when interacting with senior leadership and clients
  • High level of discretion and ability to handle confidential information
  • Strong customer service mindset with professionalism, diplomacy, and sound judgment
  • Ability to collaborate effectively across all levels of the organization and with external stakeholders
  • Proactive approach to improving processes and increasing efficiency
  • Team-oriented attitude with a willingness to support others as needed
Requirements:
All candidates must have:
  • At least 3 years of prior administrative experience
  • A high school diploma (or equivalent)
  • Advanced proficiency in Microsoft Office Suite
Pay Details: $30.00 to $33.65 per hour
