Responsibilities
- Communicate with customers via telephone and email to provide information about products and services, process orders, and address customer concerns.
- Maintain detailed records of customer interactions, transactions, inquiries, complaints, and corrective actions taken.
- Ensure customer issues are resolved promptly and verify that appropriate corrective actions have been implemented.
- Interpret warehouse inventory reports and identify discrepancies or problem areas.
- Escalate unresolved customer concerns to the appropriate departments for further investigation and resolution.
- Contact customers regarding claim investigations, shipment issues, adjustments, and follow-up resolutions.
- Compare disputed shipments against original purchase orders, invoices, and requisitions; prepare documentation for returned goods.
- Recommend improvements in products, packaging, shipping procedures, customer service processes, and billing methods to help prevent recurring issues.
- Perform order entry and order processing with a high degree of accuracy.
- Verify pricing, shipping schedules, and delivery dates based on transit timelines.
- Prepare and distribute daily reports for designated customers.
- Maintain organized filing systems and email confirmations related to customer orders and communications.
- Collaborate effectively with internal departments including warehouse, production, shipping, and accounting teams.
- Minimum of 2 years of customer service experience in a manufacturing environment required.
- Strong working knowledge of Microsoft Office Suite (Excel, Word, Outlook).
- Excellent verbal and written communication skills.
- Strong interpersonal, analytical, and problem-solving abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Team-oriented mindset with strong collaborative skills.
- High attention to detail and accuracy.
- High School Diploma or General Education Degree (GED) required.
- Experience with ERP/order entry systems preferred.
- Ability to analyze inventory and shipping data effectively.
- Strong customer-focused attitude with a proactive approach to issue resolution.
