JOB DESCRIPTION:
Primary Purpose:
Assist directors and staff in the clerical duties of the department
RESPONSIBILITIES:
Major Responsibilities and Duties:
- Provide secretarial support including answering the telephone, processing mail, filing, typing, word processing, and handling multiple correspondences.
- Perform varied typing tasks in preparation of correspondence, purchase orders, forms, and reports.
- Monitor expendable supplies and advise when to reorder.
- Handle payment transactions and provided receipts
- Maintain Finance forms and order from Graphic Arts as needed
- Perform general filing and scanning as needed.
- Assist supervisor with preparation of materials to be used for staff training.
- Maintain a schedule of appointments and make arrangements for conferences, interviews, luncheon meetings, and travel arrangements for Directors
- Compose visual presentations, pamphlets, and flyers to support Directors
- Reserve conference rooms for Directors and Specialists
- Manage purchasing for the assigned departments through effective tracking of all expenditures, soliciting quotes and bids, preparing purchase orders, processing items received, and maintaining departmental financial records
- Complete Service Records requests
- Assist Payroll Specialist with direct deposit and W-4 changes
- Maintain overpayment worksheet
- Cross-train in other business office functions and provide backup support as needed
- Assist in special projects assigned by Directors
- Work collaboratively with other personnel within the Finance and Payroll departments and in other district departments.
- Assist visitors and staff in a professional and helpful manner.
- Maintain confidentiality of financial and departmental information.
- Maintain reliable attendance in a role essential to daily operations.
- Other duties as assigned by the supervisor or designee
EXPERIENCE:
Minimum Experience:
- Secretary or office experience preferred
- Payroll and/or Accounting experience preferred
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 30 credited college hours OR five years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
- Proficient in the use of word processing, spreadsheets and presentation software
- Proficient in the use of financial and inventory databases
- Ability to multi-task and follow verbal directions
- Working knowledge of technology hardware and software
- Strong organizational and interpersonal skills
- Ability to communicate effectively both verbally and in writing
- Ability to resolve conflict, listen, and appropriately respond to concerns
- Knowledge of common software packages such as Microsoft Word and Excel
- Bilingual required
