Position Overview
Lahontan Golf Club & Community Association is seeking an enthusiastic and detail-oriented Member Services Coordinator to join our Member Experience team. This full-time, year-round position plays a key role in supporting membership services, member onboarding, communications, and marketing to ensure an exceptional experience for our members and their guests.
Key Responsibilities
Member Support
- Assist with member inquiries – Member Services Department to be a wealth of knowledge about club/community policies, events, happenings, etc.
- Assist members with access to Member portal, mobile app, and reservation systems.
- Field member suggestions, comments, or complaints; forward to the appropriate department and follow up with members as necessary.
- Register guest access to Golf Club facilities, and prepare House Guest packets and temporary guest cards.
Membership Sales
- Assist with amenity tours and general membership inquiries.
- Collect and process new member applications.
- Coordinate membership interviews with Membership Committee.
Member Onboarding & Database Maintenance
- New Homeowner Onboarding:
- Create/maintain onboarding documents.
- Ensure new member contact information is accurate/complete.
- Enroll new members in all systems.
- Distribute information and ensure new homeowner has appropriate information on gate access, community policies/services, online portal, etc.
- Inform all departments of property transfer and share new homeowner information.
- New Club Member Onboarding:
- Maintain secure and accurate individual files for each Club Member.
- Report new members to the Accounting Department and Administration to initiate proper administration of their membership; ensure initiation fees are collected and that the new member understands privileges and costs.
- Communicate membership transfers to all departments.
- Facilitate new member orientation tours and events.
- Ensure new members have all the tools they need to fully enjoy the club.
- Maintain member databases for LCA & LGC (Website, Jonas, Mailchimp, etc.).
Marketing & Communications
- Member email communications:
- Weekly emails to members.
- Monthly community emails.
- Format all GM & President emails to ensure consistent styling.
- Maintain marketing collateral:
- LGC brochures, seasonal newsletters, and calendars.
- Promote events to Lahontan members through email campaigns, flyers, push notifications, etc.
- Website & mobile app maintenance:
- Ensure accurate information on public & private pages.
- Update website seasonally to reflect current events & operations.
- Create engaging content that helps members connect with Club life.
- Manage Lahontan’s social media channels.
Public Relations
- Serve as main Lahontan point of contact:
- Answer inquiries from realtors & potential members.
- Coordinate with realtors to ensure appropriate marketing of Lahontan to potential buyers.
- Organize periodic “Realtor Open Houses” to educate real estate professionals on material changes at Lahontan.
Ideal Candidate Qualifications
- Proficient in Meta Business Suite and Mailchimp (or similar email marketing platform).
- Strong written and verbal communication skills with a polished, professional demeanor.
- Detail-oriented, organized, and able to manage multiple projects simultaneously.
- Creative thinker with an eye for design and brand consistency.
- Comfortable working both independently and as part of a collaborative team.
- Previous experience in hospitality, communications, marketing, or a private club environment preferred.
