Position Overview:
Client is seeking a strategic and highly experienced Events Manager to lead the planning, execution, and ongoing optimization of all luxury real estate events, in-house experiences, presentations, open houses, webinars, tradeshows, and trips - both locally and internationally as our company expands. This is a hands-on leadership role, requiring collaboration with brokers, internal teams, and senior leadership to deliver exceptional, high-impact experiences while overseeing a small team.
Key Responsibilities:
- Lead the end-to-end execution of events, trips, presentations, open houses, webinars, and tradeshows, ensuring seamless operations, brand consistency, and exceptional guest experiences.
- Manage and mentor the Sales Gallery Manager and Hostess/Barista for in-house events, providing guidance, training, and supervision.
- Work closely with brokers to prepare them for all presentations, open houses, and trips on a weekly basis.
- Maintain and manage the events and travel calendar, coordinating all invites, logistics, schedules, and deadlines.
- Strategically manage all event and travel budgets, including credit cards, vendor payments, and cost oversight.
- Build and maintain relationships with vendors, negotiating contracts, and overseeing invoices, billing, and service agreements for events, trips, and promotional materials.
- Source, order, and manage promotional items and event collateral, maintaining inventory and ensuring all materials are prepared for both local and international events.
- Collaborate with design and marketing teams to create high-quality invitations, collateral, and branded materials; oversee manager-prepared materials for in-house events.
- Plan, set up, and execute webinars, ensuring proper technology and equipment for flawless virtual experiences.
- Develop and implement SOPs for events, in-house experiences, and trips; provide recommendations to elevate and improve the overall experience.
- Attend internal and senior leadership meetings to provide event and travel updates, present ideas, and report on outcomes and metrics.
- Strategically plan future events and trips, offering creative insights and actionable recommendations to enhance brand presence and guest experience.
- Lead on-site coordination for all events, proactively troubleshooting challenges to ensure a seamless experience.
- Coordinate all travel logistics for team members, VIPs, and guests, including accommodations, transportation, and itineraries.
- Collect and analyze post-event feedback and performance, providing reports and recommendations for continuous improvement.
Qualifications:
- 5 years of experience in high-end event management, preferably in luxury real estate, hospitality, or lifestyle brands, with prior experience managing a team.
- Proven leadership skills, with the ability to inspire, mentor, and manage staff while collaborating across departments.
- Exceptional organizational skills, attention to detail, and ability to manage multiple complex projects simultaneously.
- Strong experience in vendor negotiation, budget management, and financial oversight for events and travel.
- Skilled in marketing collaboration, branding, and management of collateral and promotional items.
- Proficient in event management software, CRM platforms, webinar tools, and Microsoft Office Suite.
- Bilingual in English and Spanish.
- Flexible and able to travel frequently, with the ability to work outside standard business hours as needed.
Salary : $85,000 - $90,000
