Our client, a start-up biotech in Montgomery County, PA is seeking an Executive Administration and Operations for the CEO to provide a broad range of administrative support to the CEO. This position requires a highly proactive and detail-oriented individual with experience in handling details of a highly confidential and critical nature. The ideal candidate will have previous experience working in a growing biotech supporting the CEO or senior leaders.
This is a hybrid position that is onsite two days per week.
Responsibilities:
- The Executive Administration and Operations for the CEO is a direct reflection of the CEO and the company. Therefore, it is critical that the candidate always operates with the highest level of professionalism, and that the candidate builds and maintains credibility, trust, and support with both internal and external stakeholders.
- Administrative support for the CEO requires proactive anticipation of needs to help shape thoughtful actions. A keen attention to detail, acting with a sense of urgency, maintaining confidentiality, and the ability to quickly adapt to changing needs and circumstances are keys to success.
- Planning, coordinating, and ensuring proactive management of calendar, travel, and expense reporting is required. The person in this role may also be asked to provide back-up support for other members of the C-suite.
- Screening and appropriately triaging / redirecting general inquiries from internal and external stakeholders in a manner that reflects an ability to discern between critical and less urgent matters.
- Support the CEO in Board and Committee preparation, including but not limited to planning, scheduling and successfully executing Board meetings and logistics, ensuring timely execution of Board deliverables, creating and editing PowerPoint presentations and proof-reading materials to ensure high quality materials.
- Support the CEO’s direct and indirect interactions and deliverables to the Board of Directors. This includes dissemination of Board materials, regular and ad-hoc Board meeting planning, and travel planning for Board members as needed.
- Partner with other members of the Management Team to support corporate initiatives, as needed.
- Establish and maintain strong working relationships with key internal and external stakeholders and their administrative support.
- Create/edit/format presentation slide decks using Microsoft PowerPoint.
- Other projects as assigned.
Qualifications
- Bachelor’s degree or equivalent and 10 years of directly related experience required. Significant responsibility working in a dynamic, demanding, and fast-paced environment. Previous experience supporting the CEO or C-level executive is highly desirable.
- Proficient in SharePoint/Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams), and other collaboration tools; experienced working in Apple / Mac based computing environment
- Experience in the biotechnology/pharmaceutical industry strongly preferred
