Our client a nonprofit based in Concord, MA is looking for a Finance/HR Administrator on either a temp to hire or direct hire basis to start a position ASAP. This would be a Mon-Fri in office position with the ability to work from home possibly one day a week. This role requires strong attention to detail, sound judgment, and a proactive mindset focused on compliance and efficiency. The client will move quickly through the interview process and start someone after the holidays.The Administrative Coordinator works closely with leadership, staff, vendors, and the Board of Directors to ensure smooth day‐to‐day operations.Responsibilities Include:Financial SupportReconcile monthly of credit card statements, including collecting invoices, coding expenses, and ensuring proper authorization.Assist with monthly bank reconciliations by gathering supporting documentation, verifying approvals, and coding transactions for accountants.Develop monthly billing and assist with collections.Reconcile insurance and other prepaid accounts, fixed assets, and employee vacation accruals.Support the annual audit, IRS Form 990 preparation, and year‐end 1099 filings.Coordinate submission of required state and local filings.Maintain finance and administrative records on the intranet, ensuring accuracy, completeness, and compliance.Draft consultant agreements in accordance with federal requirements and organizational policies.Collect, review, code, and submit consultant invoices for payment.Continuously identify, propose, and document process improvements to streamline operations while maintaining compliance.Assist with the annual review of vendors to ensure procurement policies are followed.Support coordination of board meetings, office events, and teacher training sessions, including catering, invoice processing, and teacher payments.Human Resources SupportUpdate and maintain HR and benefits materials on the intranet.Assist with benefits open enrollment.Support recruitment activities, including drafting and posting job ads, collecting resumes, responding to candidates, scheduling interviews, and preparing offer letters.Assist with onboarding new staff and coordinating with IT.Facilities & Office OperationsMonitor facilities and coordinate service or maintenance needs with the landlord.Monitor the main phone line and respond to general email inquiries.Coordinate and schedule office visits from IT personnel and other service providers.Distribute mail and packages and notify staff of deliveries.Maintain staff Zoom phone accounts.Track building keys and parking stickers.Monitor office and project supplies (including water deliveries) and place orders as needed.Assist with setup and breakdown for office events.Governance & Executive SupportUpdate the intranet with new policies and procedures to keep staff informed.Serve as liaison to the Board of Directors by:Communicating meeting dates and logistics.Working with the CEO to prepare agendas and meeting materials.Maintaining shared online spaces for board documents.Collecting annual conflict‐of‐interest forms.Coordinating travel arrangements and reimbursements for board members.Planning food for in‐person board meetings.Facilitating virtual board meetings via Zoom.Provide administrative support to the CEO as needed.Assist with other finance and administrative initiatives as assigned.Skills & QualificationsStrong written and verbal communication skills.Highly tech‐savvy; comfortable using technology as a primary tool for efficiency and problem‐solving.Solid math and numerical reasoning skills.Practical judgment and ability to think through situations independently.Creative problem‐solving and process‐improvement mindset.Exceptional attention to detail and accuracy.If interested in this Finance/HR Administrator opening in Concord, MA, please contact JMT Staffing Solutions at 781-558-2589 or apply to this ad today and a staffing manager will be back in touch with more details.
