Under the direction of the Corporate Director of Accounting, this position is responsible for managing and validating sales tax exemption certificates, maintaining records, responding to notices, and supporting audits. The role requires strong technical knowledge, attention to detail, and the ability to collaborate with internal departments and external tax authorities.Duties and ResponsibilitiesThe following duties are essential to this position. Management may assign additional duties as necessary.Sales Tax Exemption Certificate Management· Manage, collect, and validate customer exemption certificates to maintain compliance.· Investigate and resolve tax discrepancies, notices, and inquiries.· Collaborate with accounting, sales, and customer service teams to ensure proper customer setup and resolve tax issues.· Respond to state and local tax notices and correct errors promptly.· Research and stay current on sales and use tax laws, regulations, and best practices.· Provide advice and support to minimize tax liability and ensure compliance with changing requirements.Sales Tax Exemption Certificate Maintenance· Contact customers with expired or out-of-date exemption certificates.· Review, validate, and update customer accounts with the updated information.Sales Tax Research· Conduct research on products in jurisdictions where the company has nexus.· Ensure the ERP system is configured to calculate tax correctly.· Provide state backup documentation to support tax positions.Sales Tax Audit Management· Locate exemption certificates.· Contact customers as needed for updated or corrected forms.· Prepare a digital library of tax documentation.· Address auditor's rejections and provide additional support as required.· Request updated forms via mail or email blast.· Verify updated forms, update customer accounts, and provide documentation to auditors.Accounting Department Support· Assist with general accounting tasks and special projects as assigned.· Ensure regular and reliable attendance and adherence to work schedules.· Perform other related duties as assigned.· Provide documentation and support during sales and use tax audits.QualificationsEducationAssociate's degree in Accounting, Finance, or a related field required; Bachelor's degree preferred.ExperienceMinimum of 5 years' experience in accounting, with at least 3 years focused on sales tax compliance. Experience with multi-jurisdictional tax reporting and audits.Knowledge, Skills, and Abilities· In-depth understanding of multi-jurisdictional sales and use tax laws, compliance requirements, exemption rules, and audit processes.· Proficiency in applying accounting principles, performing reconciliations, and analyzing financial data for tax reporting.· Skilled in using ERP systems (e.g., SAP, Oracle, NetSuite) and tax compliance software (e.g., Avalara, Vertex, TaxJar).· Advanced proficiency in Microsoft Excel (pivot tables, lookups, data modeling).· Ability to research, evaluate, and resolve complex tax discrepancies and compliance issues.· Exceptional accuracy in handling large volumes of numerical and legal data.· Strong written and verbal communication skills for clear interaction with colleagues, auditors, customers, and tax authorities.· Ability to manage multiple deadlines, prioritize effectively, and work in a fast-paced environment.· Ability to partner with internal departments to achieve compliance and resolve tax-related issues.· Adaptability to changing regulations and evolving business needs.· Commitment to ethical conduct and protecting sensitive company and customer data.All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
