The Mailroom Clerk is responsible for supporting the mailroom and receiving dock within an assigned portfolio of buildings for the account. The role is Client facing and the Mailroom clerk must be able to exhibit exceptional customer service and communication skills. Various duties include receiving and sorting incoming mail and packages to be distributed to various departments, dispatching outgoing mail and packages, preparing bulk mail reports, and ordering office supplies and equipment.
Your day-to-day tasks will include:
- Sort mail according to destination and type such as returned letters, adjustments, bills, orders, and payments
- Fold and/or post outgoing mail and seal envelopes by hand or machine and perform quality checks
- Prepare packages and create shipment labels for distribution
- Collect, receive and distribute mail and packages using an automated system to track and manage activity
- Pick up mail from post office and deliver it on a timely basis
- Track, trace, and resolve mail problems with USPS and express carriers
- Organize and maintain a clean mailroom and order and maintain office and cleaning supply inventory
- Dispatch work orders to vendors when required and work collaboratively within the facility management team
- Anticipate and respond to Client's needs and concerns while identifying potential risks and escalating to ensure no incident or disruption to operations
Requirements:
- High school diploma or general education degree (GED); or at least two years related experience and/or training; or equivalent combination of education and experience
- Valid driver's license and reliable mode of transportation
- Ability to read and write comprehend simple instructions, short correspondence, and memos
- Clear and articulate speaking abilities
- Proficiency in Microsoft Office applications including Word, Outlook and Excel to prepare documents and communicate with others
- Ability to use calendar/scheduling features in Outlook and operate a phone
- Strong customer service skills with ability to greet and assist employees, clients, vendors and guests in a courteous and responsive way
- Ability to work in team environment with strong interpersonal skills
- Problem-solving abilities to identify and solve problems and react accordingly to a variety of work situations
- Physical ability to lift up to 50 pounds
- Previous mailroom or logistics experience
- Experience with automated mail tracking systems
- Familiarity with shipping and receiving procedures
