We're looking for a Planning & Operations Senior Specialist to support a dynamic marketing team by driving cross-functional coordination, project execution, and operational excellence across a portfolio of leading consumer brands.
This role is perfect for someone with prior marketing agency experience who enjoys keeping complex initiatives on track, managing multiple stakeholders, and ensuring marketing programs run seamlessly from planning through execution.
What You'll Do
Project & Calendar Management
- Own and maintain the master marketing calendar, ensuring key milestones and deadlines are tracked and communicated across teams.
- Coordinate with internal departments and external partners to proactively manage timelines and keep projects moving forward.
- Consolidate project updates and communicate progress to stakeholders, ensuring alignment across the organization.
- Support cross-functional initiatives by identifying risks, resolving scheduling conflicts, and maintaining operational efficiency.
Marketing Operations & Asset Management
- Manage and maintain internal marketing platforms and digital asset libraries in collaboration with IT teams and external creative partners.
- Coordinate the production, distribution, and quality assurance of monthly marketing communications and newsletters.
- Conduct routine audits to ensure marketing assets remain accurate, compliant, and up to date.
Program Coordination
- Partner with cross-functional teams to oversee marketing programs from planning through execution.
- Coordinate timelines, workflows, approvals, tracking, and reporting across multiple concurrent initiatives.
- Support promotional and operational programs by ensuring documentation, processes, and deliverables are completed accurately and on schedule.
Documentation & Business Support
- Create, update, and maintain key marketing documents, presentations, sell sheets, innovation materials, and business summaries.
- Ensure documentation is organized, accurate, and readily available to support internal teams and leadership.
- Assist with the development of process improvements that enhance efficiency and collaboration.
Performance Reporting & Analytics
- Compile recurring reports and dashboards to monitor marketing asset usage and operational performance.
- Analyze data and provide actionable recommendations to improve visibility, utilization, and overall program effectiveness.
- Present findings to internal stakeholders in a clear and meaningful way.
What We're Looking For
- Bachelor's degree required.
- 4 years of experience in marketing operations, business operations, project management, or a similar role.
- Coupon programming experience a plus
- Prior experience working within a marketing agency is required.
- Demonstrated ability to manage multiple complex projects simultaneously while maintaining exceptional attention to detail.
- Strong organizational and time management skills with the ability to prioritize competing deadlines.
- Excellent written and verbal communication skills with a collaborative, client-service mindset.
- Proven ability to build strong relationships across cross-functional teams and external partners.
- A proactive, solutions-oriented approach with strong follow-up and stakeholder management skills.
- Experience creating reports, coordinating marketing initiatives, and supporting operational processes.
- Advanced proficiency with Microsoft Office, including Excel, PowerPoint, and Word.
