Summary: The Quality Control Administrative Assistant supports daily operations by coordinating job materials, maintaining production and QC records, and facilitating communication between departments. This role ensures accuracy in job documentation, readiness of QC materials, and timely updates to scheduling and tracking systems. The position requires strong organizational skills, attention to detail, and effective communication to keep projects moving smoothly from preparation through final release.
Responsibilities:
- Coordinate QC and Production Materials: Review and organize daily print sheets, window checks, and fold samples to ensure all required materials are received, accurate, and ready for evaluation.
- Verify Job Details: Review work orders and confirm job information such as materials, assignments, and sample requirements, collaborating with account executives, programmers, and QC staff as needed.
- Support Scheduling and Job Tracking: Maintain up-to-date records in production and QC management systems (e.g., SharePoint, Smartsheet), ensuring all jobs are accurately logged and their statuses are current.
- Facilitate Communication: Act as a liaison between quality control, programming, production, and account management to ensure clear updates on job readiness, approvals, and releases.
- Quality and Accuracy Checks: Verify sample and job specifications for completeness, imposition, and proper documentation before release to QC review.
- Documentation and Reporting: Maintain logs, update tracking lists, and generate status reports to support QC and scheduling needs.
- Process Compliance: Follow established standard operating procedures (SOPs) and escalate discrepancies or incomplete job data to appropriate team members.
Qualifications:
- Bachelor’s degree preferred
- 1–3 years of experience in quality control, production support, or administrative roles.
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office, SharePoint, and related tracking tools.
- Excellent communication and teamwork abilities.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
