This position is responsible for providing general administrative assistance, conference, and office support to the Judicial Services Director. Job Duties Assists in composing and distributing original departmental correspondence and conference-related communications to both internal and external clients using in-house office software. Collects, inputs, maintains, organizes, and analyzes data in Excel, and prepares written reports and spreadsheets on departmental activities. Assists with developing, producing, and distributing incidental resource materials (name tags, flyers, and conference participant lists) and assists with the preparation of conference materials (mailings, binders, folders, evaluation forms, expense vouchers). Develops and maintains departmental files and filing systems. Updates and purges files according to established procedural guidelines. Maintains and distributes a calendar of project activities and conference schedules. Receives, acknowledges, tracks, and processes financial interest statements submitted by staff and elected officials of the Unified Judicial System. Reviews invoices of conference-related expenditures for accuracy and inputs required financial data. When necessary, travels independently overnight to conference and meeting facilities, using the most cost-effective mode of transportation. When travel is required, responsible for bringing various conference materials to the site. Assists with website updates. Serves as the office front desk support. Minimum Qualifications Bachelor’s degree from an accredited college or university. Experience performing administrative (non-clerical) staff work involving a variety of assignments. An equivalent combination of education, experience, and/or training may be considered. Requirements / Preferences Satisfactory criminal background check required. Valid driver’s license required. Periodic multi-day and overnight statewide travel required. Ability to, manually or with appropriate equipment, transport and move items weighing up to 20 pounds required.
