The Executive Assistant to the CEO provides high-level administrative, operational, and project support to the President & CEO. This role protects the CEO’s time, supports executive priorities, coordinates key relationships, and ensures engagements are purposeful, informed, and strategically aligned. This role requires strong judgment, organization, communication, and the ability to manage complex workflows across multiple stakeholders while driving clarity, efficiency, and follow-through.
Executive Assistant Responsibilities:
- Coordinate with senior leaders to ensure effective use of time, anticipate conflicts, recommend adjustments, and structure the calendar to include preparation, reflection, and focused work time.
- Manage the full lifecycle of CEO meetings, ensuring engagements are purposeful and aligned with strategic objectives.
- Prepare briefing materials, coordinate with internal and external stakeholders, and track follow-up actions, timelines, and deliverables to ensure accountability and progress.
- Manage and advise on the CEO’s schedule, balancing short- and long-term priorities.
- Coordinate logistics for CEO meetings and travel.
- Develop agendas, schedules, and preparation timelines; collaborate with Marketing and Communications to produce briefing materials; ensure accurate preparation and delivery of all materials.
- Coordinate domestic and global travel and prepare expense reports.
- Draft, edit, and distribute internal and external communications on behalf of the CEO.
- Serve as liaison with senior leaders, stakeholders, and consultants, while tracking key relationships in the CRM system.
- Manage sensitive information with discretion and professionalism.
- Maintain organized systems for executive documents and confidential materials.
- Lead or support cross-functional projects involving legal counsel and consultants.
- Coordinate board meetings, strategy sessions, and offsite retreats
- Develop and maintain standard operating procedures (SOPs) for executive administrative processes.
- Support onboarding and training of administrative staff to ensure consistency and efficiency.
- Assist in preparing reports and presentations that summarize key initiatives, metrics, and timelines.
Executive Assistant Requirements:
- Bachelor’s degree preferred.
- 5–7 years of executive-level administrative experience, including at least 3 years supporting a CEO or senior executive.
- Proven experience managing complex calendars, coordinating high-level meetings, and handling executive communications.
- Experience in a mission-driven, fast-paced environment requiring discretion and professionalism.
- Flexibility in work hours and responsiveness outside standard business hours may be required.
- Exceptional organizational and time management skills, with the ability to manage competing priorities in a fast-paced environment.
- Strong written and verbal communication skills with experience drafting executive-level communications.
- High level of discretion, integrity, and sound judgment with confidential information.
- Proactive, detail-oriented, and resourceful with the ability to anticipate needs and follow through independently.
- Advanced proficiency in Microsoft Office Suite and familiarity with digital productivity tools.
Salary : $75,000 - $80,000
