Responsibilities
- Manage company fleet administration, including vehicle maintenance, registrations, insurance, driver records, safety compliance, and incident coordination.
- Coordinate employee housing operations, including leases, move-ins, move-outs, inspections, insurance, repairs, and vendor communication.
- Support expatriate employees relocating to the United States with administrative needs such as Social Security applications, banking, driver’s licenses, and local onboarding.
- Coordinate maintenance, repairs, utilities, inspections, and vendor services for office, warehouse, housing, and jobsite facilities.
- Manage company equipment records, inventory, maintenance schedules, repairs, and warranties.
- Process vendor invoices, organize receipts, assist with account reconciliation, and prepare project-related invoices.
- Support daily office administration, including mail, business cards, office supplies, keys, phone systems, petty cash, and general records.
- Coordinate company events, meetings, team-building activities, catering, and employee programs.
- Maintain accurate fleet, housing, equipment, vendor, invoice, and administrative documentation.
- Develop and update internal procedures, workflows, checklists, and operational records.
- Coordinate with employees, vendors, landlords, service providers, project teams, accounting, HR, and management.
- Complete business errands and provide occasional transportation support, including airport pickups for employees or visitors.
- Perform additional administrative and operational duties as assigned.
- Fluent in Mandarin Chinese and English, both written and verbal, required.
- 2 years of experience in administrative coordination, office operations, general affairs, facilities, fleet administration, or related work.
- Bachelor’s degree preferred; equivalent education and relevant experience may be considered.
- Valid driver’s license with a satisfactory driving record required.
- Comfortable driving for business-related errands and employee support.
- Strong organization, attention to detail, communication, and follow-through skills.
- Able to manage multiple priorities independently in a fast-paced environment.
- Proficient with Microsoft Excel, Word, Outlook, and PowerPoint.
- Experience processing invoices, reimbursements, receipts, or vendor documentation preferred.
- Experience coordinating employee housing, company vehicles, facilities, or international employee relocation is a strong plus.
- Experience with project management, workflow, ERP, or document-management systems is a plus.
- Professional, dependable, and comfortable supporting employees from different cultural backgrounds.
- Must be authorized to work in the United States and able to work full-time on-site in Phoenix.
