Position Overview:The Executive Administrative Assistant will support the Chief Executive Officer, and other C Suite Executives as needed, managing schedules, communications, and administrative tasks. The Executive Assistant will have exceptional organizational skills and professionalism.Essential Duties and Responsibilities: Provide critical administrative support to the CEOManage meetings and events to optimize the executive’s timeCoordinate all meeting logistics: technology, catering, detailed instructions for attendeesDraft meeting agendas, memos, and prepare communications for the CEOEnsure CEO’s time is well organized and used to support the goals of the companyPrioritize and respond to emails and phone calls, acting as a liaison between the CEO and internal and external stakeholdersPrepare reports, presentations, and correspondence, ensuring all materials are accurate and professionally formattedPlan and coordinate travel itineraries, including booking flights, accommodations, and transportation, while managing travel-related expensesPartner with key stakeholders on special projects across the organizationSupport other C Suite Executives as neededAll other duties, special projects, and tasks as assigned Qualifications/ Experience Exceptional ability to manage multiple tasks and prioritize effectivelyStrong verbal and written communication skills to interact professionally with various stakeholdersAdvanced skills in Microsoft Office Suite and other relevant software toolsResourceful and proactive in identifying issues and implementing solutions independentlyAbility to handle sensitive information with discretion and maintain confidentiality at all timesBasic understanding of global business organizations and processesMinimum 7 years of administrative experience (preferably with government relations experience)Education High School Diploma Bachelor’s Degree in Business Administration or a related field PreferredSpecial Knowledge / Skills: At least 2 years of experience in defense industry or government relationsExperience working with global business organizations, across languages, cultures and time zonesPhysical Demands / Work Environment: While performing the duties of this job, the employee is regularly required to talk and hear and use hands to finger, handle, and feel.
