Overview/Description: The Paralegal Assistant is an entry-level administrative support role providing assistance to the paralegal team in support of litigation matters. This position focuses on organizing case materials, maintaining files, and assisting with document preparation and case-related tasks. The role is focused on supporting the Paralegal team and is designed as a foundational position for individuals interested in developing paralegal skills.
Primary Responsibilities:
- Provides general administrative support to the paralegal team.
- Document production and support: Assists with formatting, proofreading, and organizing legal documents including pleadings, discovery materials, correspondence, and subpoenas. Works from templates, drafts, or direction provided by paralegals.
- File management: Organizes, maintains, and updates physical and electronic case files, including pleadings, discovery, medical records, and exhibits. Assists with file closing and storage in accordance with firm policies.
- Records and document organization: Assists with gathering, organizing, and indexing records and other case-related materials for paralegal and attorney review.
- Case support: Assists paralegals with preparing materials for depositions, hearings, and trial, including assembling binders, exhibits, and witness files.
- Data entry and tracking: Enters and updates case-related information in internal systems and tracks documents and case materials as directed.
- Calendar and deadline support: Assists with tracking key dates and deadlines to support case management.
- Client and third-party interaction: Provides professional and limited communication with clients, vendors, and court personnel as directed.
- Time Entry: Accurately enters time by the required deadline, if applicable.
- Database support: Maintains internal databases and document management systems as needed.
- Other duties as assigned.
Key Knowledge, Skills & Abilities:
- High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Prior administrative or office experience in a professional environment preferred; legal experience is a plus but not required.
- Interest in litigation or legal support work.
- Microsoft Office proficiency, including Word, Excel, and Outlook.
- Strong organizational skills and attention to detail, particularly when managing large volumes of documents.
- Ability to follow direction, prioritize tasks, and meet deadlines in a fast-paced environment.
- Excellent oral and written communication skills.
- The ability to communicate effectively and professionally with internal and external clients at all levels.
- Strong typing, grammatical, and proofreading skills.
- The ability to work at a computer, sit, stand, and occasionally lift up to 25 pounds.
FLSA Designation: Non-Exempt
Pay Range: $20.00 - $28.00 per hour
