Overview/Description: Legal Administrative Assistants provide comprehensive administrative and clerical support to multiple attorneys, ensuring seamless handling of litigation-related matters. Legal Assistants work independently and rely on experience to complete a variety of secretarial and administrative support tasks such as accurately capturing case information on attorney calendars, communicating verbally and in-writing with internal and external stakeholders, preparing and filing legal documents, composing and proofreading correspondence, and maintaining reporting.
Primary Responsibilities:
- Provide administrative support to multiple litigation attorneys, managing complex calendars, court deadlines, and travel arrangements.
- Prepare, proofread, and format legal documents including pleadings, discovery, motions, and correspondence.
- File legal documents electronically with federal and state courts (e-filing).
- Maintain and organize case files, both electronically and in hard copy, ensuring documents are easily accessible.
- Coordinate meetings, depositions, court appearances, and client communications.
- Track billable hours, prepare time entries, and assist with monthly billing using firm software.
- Communicate professionally with clients, court staff, and opposing counsel.
- Assist with trial preparation, including document production, exhibits, and witness coordination.
- Perform other administrative duties as needed to support legal staff and ensure efficient case management.
Key Knowledge, Skills & Abilities:
- Minimum of 5 years of legal administrative experience, with a strong focus on litigation support.
- Proficiency with legal terminology, procedures, and litigation processes.
- Advanced skills in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Experience with legal e-filing systems (e.g., PACER, state court portals).
- Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail, excellent written and verbal communication skills.
- Ability to work independently and as part of a team, maintaining confidentiality and professionalism at all times.
- The ability to work at computer, sit, stand, and occasionally lift up to 25 pounds.

FLSA Designation: Non-Exempt
Pay Range: $28.00 - $44.00 per hour
