Job Summary
The Payroll Clerk ensures the accurate and timely processing of employee payroll by compiling data, maintaining documentation, reconciling discrepancies, and responding to inquiries. This position plays a key role in maintaining compliance with applicable laws, contracts, and internal procedures.
Key Responsibilities
Audit Support
- Assist with internal and external audits by providing supporting payroll documentation and explanations of procedures.
- Compile payroll data including time sheets, tax withholdings, and salary adjustments.
- Process a variety of payroll documents such as garnishments, COBRA contributions, and retirement plan updates.
- Support accurate and timely payroll distribution.
- Investigate and resolve payroll discrepancies related to timekeeping, benefits, and employee contributions.
- Maintain payroll records including tax returns, insurance forms, W-2s, stop payments, and other essential documents.
- Reconcile payroll account balances and prepare required reports for government agencies (e.g., Missouri Department of Labor, Workers' Compensation).
- Ensure compliance with labor contracts, state/federal laws, and district policies.
- Respond to inquiries from staff and external agencies about payroll procedures.
- Provide procedural guidance and assistance to departments and employees.
- Participate in staff meetings, training, and workshops.
- Work with the Payroll Administrator to complete payroll operations.
- Coordinate payroll processing activities with other departments.
- Perform additional related tasks as needed to ensure efficient payroll operations.
Education
- High school diploma or equivalent (required)
- Coursework or training in accounting, business, or payroll systems preferred
- Job-related experience required
- Previous payroll experience with software applications preferred
- Ability to prepare and maintain accurate records
- Proficient in using payroll software and Microsoft Office
- Strong attention to detail and organizational skills
- Basic accounting and payroll principles
- Knowledge of relevant labor contracts and state/federal payroll laws
- Familiarity with payroll taxes and insurance reporting
- Handle confidential information with integrity
- Communicate effectively with diverse groups
- Meet deadlines and manage competing priorities
- Analyze data and resolve discrepancies with accuracy
