What are the responsibilities and job description for the Office Manager position at Focus People?
Office Manager / Operations Analyst (Direct Hire)
Location: Chattanooga, TN (Downtown)
Work Style: 100% On-Site
Compensation: $65,000 – $75,000 (Based on Experience)
The Opportunity
Focus People has been retained by a high-growth, fee-only Registered Investment Advisor (RIA) to identify a high-ownership Office Manager / Operations Analyst for their Chattanooga headquarters. Managing approximately $2 billion in assets, our client operates with a fiduciary "client-first" mandate and a tight-knit, professional team.
This is a critical, multi-faceted role that serves as the operational and financial heartbeat of the firm. You will wear "many hats," bridging the gap between firm-level bookkeeping, revenue collection, and high-touch client service.
Key Responsibilities
- Revenue Operations (The "Big" Task): Own the monthly advisory fee billing process. You will be responsible for pulling fees for all billable accounts, reconciling data in Orion, and ensuring 100% accuracy in the firm’s revenue collection.
- Firm Bookkeeping: Partner with outsourced providers to manage accounts receivable, process invoices/expenses, and support firm-level budgeting and financial reporting.
- Systems Administration: Serve as the "super-user" for the firm’s technology stack, including Salesforce, Orion, and custodial platforms (Schwab/Fidelity).
- Compliance & Reporting: Maintain accurate records for SEC regulatory reviews and audits; deliver monthly/quarterly reports to leadership.
- Office Management: Act as the primary "gatekeeper" for the headquarters, managing vendors, office logistics, and internal team events while greeting high-net-worth clients with professional poise.
Who You Are
- The "High-Ownership" Professional: You don't just execute tasks; you own them. You are constantly looking for ways to make systems more efficient and "better."
- Financially Literate: You have a strong grasp of bookkeeping or accounting principles. Experience with monthly billing or revenue reconciliation is a major plus.
- Tech-Savvy: You are highly proficient in Excel and can pivot between complex software systems with ease.
- Industry Versatile: While Wealth Management experience is ideal, we are open to professionals from other high-stakes environments, such as Law Firms, Accounting Firms, or Banking.
- Clean Record: Candidates must have a completely clear IAPD/BrokerCheck record (zero disclosures) due to the firm’s regulatory requirements.
- Bachelor's degree required.
- Strong knowledge of Salesforce, Orion, and custodial platforms (Schwab/Fidelity) or similar software.
Why Join This Firm?
Our client offers the stability and resources of a large national partnership with the agile, "everyone-knows-your-name" culture of a local boutique firm.
- Financial Perks: 401(k) with a 3% match and $100,000 in company-paid Life Insurance.
- Full Wellness Suite: Company-paid Short-Term/Long-Term Disability and multiple medical/dental/vision options.
- Logistics: 100% company-paid parking in downtown Chattanooga.
- Growth: The firm fully funds industry CFP training and licensing fees for employees looking to expand their credentials.
- Culture: A "work hard/play hard" environment that includes annual team retreats, strategic planning days, and frequent office celebrations.
