Position Summary
The EVS Assistant Executive Director supports the overall operations within a healthcare setting, ensuring consistent service delivery, staff performance, and compliance with hospital standards. This role provides leadership and guidance to supervisors and frontline staff while assisting with daily operations, staffing coverage, and coordination across all shifts, including critical care areas. The position also supports administrative and reporting functions, maintaining accurate records, tracking performance metrics, and assisting with workforce planning and budget monitoring.
In the absence of the EVS Executive Director, this position may serve as a key point of contact with the customer, while maintaining a high level of organization, accountability, and professionalism in a fast-paced healthcare environment.
Essential Duties and Responsibilities
Operations & Leadership Support
- Supervise, coach, and support Supervisors and EVS staff to ensure consistent performance and accountability.
- Assist in planning and coordinating daily schedules, staffing coverage, inspections, and special projects.
- Maintain operational flow across shifts, ensuring high-priority areas (ER, OR, L&D, etc.) are consistently supported.
- Identify operational gaps and implement process improvements to enhance efficiency and service quality.
- Act as the operational lead in the absence of the EVS Executive Director.
- Other duties as assigned.
Data Management & Systems Oversight
- Lead and manage all data entry, tracking, and reporting systems, ensuring accuracy and timeliness.
- Maintain and update platforms including:
- Smartsheet (schedules, trackers, reporting dashboards)
- Microsoft Excel (budget tracking, labor analysis, reports)
- Microsoft Forms (training logs, audits, feedback collection)
- ADP (timekeeping, attendance, onboarding support)
- Ensure all reports (daily, weekly, monthly) are completed accurately and submitted on time.
- Track KPIs such as labor hours, overtime, inspection results, and training compliance.
- Support budget monitoring and workforce analytics.

Training & Compliance
- Track and maintain records of all required training (infection control, safety, PPE, equipment use).
- Ensure compliance with hospital standards, regulatory requirements, and internal policies.
- Support implementation and documentation of safety programs and corrective actions.
- Partner with leadership to identify training gaps and ensure completion.
- Other duties as assigned.
4. Quality Assurance & Performance Monitoring
- Support inspection processes, ensuring documentation and follow-up on deficiencies.
- Monitor trends in performance, incidents, and service gaps, and escalate as needed.
- Ensure corrective actions are tracked, completed, and documented.

5. Collaboration & Communication
- Respond to patient, visitor, and staff feedback professionally and promptly.
- Maintain clear communication across all shifts to ensure operational alignment.
- Foster a culture of accountability, teamwork, and respect.

Qualifications
- Proficiency with:
- Microsoft Excel
- Smartsheet
- Microsoft Forms
- ADP
- Proven ability to manage data, reporting, and administrative systems with a high level of accuracy is required.
- Strong leadership skills with experience supervising teams in a fast-paced environment are required.
- Ability to manage complex operations and prioritize effectively.
- Strong communication, organizational, and problem-solving skills.
- Knowledge of hospital cleaning standards, infection prevention, and EVS operations preferred.
- CHEST Certification (Certified Healthcare Environmental Services Technician) preferred.
Work Environment
Work is performed primarily within a hospital or healthcare facility and may include exposure to cleaning chemicals, dust, bodily fluids, regulated waste, and varying temperatures. Work schedules may vary based on operational needs.
