Location: Kahului, HI

Pay: $26 to $30/hour

Experience: 2 years of office management or administrative experience (trucking, fleet, or service shop preferred)

Type: Full-time; Contract

Schedule: Monday - Friday 8:00am to 4:00pm

Employers Options is seeking a Service Shop Office Manager to join a growing and dynamic team!

Job Description

• Manage day-to-day office operations for the service shop, ensuring smooth workflow and communication
• Coordinate service schedules, work orders, and job tracking for maintenance and repair activities
• Act as liaison between shop technicians, drivers, and management regarding service updates and timelines
• Maintain accurate records of vehicle maintenance, repairs, parts inventory, and service history
• Process invoices, purchase orders, and vendor communications
• Order and track parts, supplies, and equipment for shop operations
• Assist with payroll/timekeeping for shop employees as needed
• Ensure compliance with company policies, safety standards, and DOT regulations where applicable
• Handle customer service inquiries related to service, billing, and scheduling
• Support reporting on shop productivity, costs, and operational efficiency
  
  

Position Requirements

• Experience with scheduling, invoicing, and recordkeeping systems
• Strong organizational and multitasking skills in a fast-paced environment
• Proficiency in Microsoft Office (Excel, Word, Outlook); experience with fleet/shop software is a plus
• Excellent communication and customer service skills
• Ability to work independently and problem-solve effectively
• Knowledge of basic vehicle maintenance terminology is preferred
