Job Description
- Manage day-to-day office operations for the service shop, ensuring smooth workflow and communication
- Coordinate service schedules, work orders, and job tracking for maintenance and repair activities
- Act as liaison between shop technicians, drivers, and management regarding service updates and timelines
- Maintain accurate records of vehicle maintenance, repairs, parts inventory, and service history
- Process invoices, purchase orders, and vendor communications
- Order and track parts, supplies, and equipment for shop operations
- Assist with payroll/timekeeping for shop employees as needed
- Ensure compliance with company policies, safety standards, and DOT regulations where applicable
- Handle customer service inquiries related to service, billing, and scheduling
- Support reporting on shop productivity, costs, and operational efficiency
- Experience with scheduling, invoicing, and recordkeeping systems
- Strong organizational and multitasking skills in a fast-paced environment
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with fleet/shop software is a plus
- Excellent communication and customer service skills
- Ability to work independently and problem-solve effectively
- Knowledge of basic vehicle maintenance terminology is preferred
