Job Description
- Open, sort, and distribute incoming mail and payments; handle filing and general phone inquiries
- Prepare letters, billing documents, and Excel reports; maintain organized records and files
- Receive and process customer payments (mail, drop box, and cash); balance transactions, resolve discrepancies, and prepare daily reports
- Apply payments to customer accounts and prepare deposits for the bank
- Process general ledger payments and employee disbursement requests
- Research and resolve payment issues by contacting customers or reviewing account records
- Handle suspended accounts and complete necessary payment transfers
- Review account records to verify payment history and accuracy
- Process non-routine payments and field documents using internal systems
- Answer incoming calls, take messages, and provide basic information as needed
- Sort and distribute bills, work orders, and reports; maintain logs and filing systems
- Communicate with customers, banks, and other parties to ensure accurate recordkeeping and payment application
- Proficiency in Microsoft Office (Excel and Word required)
- Strong computer skills, including navigating files, folders, and basic system functions
- Experience with billing or payment processing preferred
- 10-key proficiency required
- SAP or similar ERP system experience is a plus
- Strong analytical, organizational, and time management skills
- Ability to multitask, stay flexible, and adapt in a fast-paced environment
- Effective written and verbal communication skills
- Team-oriented with strong interpersonal skills
- Ability to lift and handle mail, packages, and materials up to 65 lbs
