Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess strong communication skills, and have experience with various office software and systems. Bilingual abilities are a plus to effectively serve diverse clients and staff. Duties

  • Greet visitors and clients with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain accurate records using office management software such as QuickBooks
  • Handle correspondence, proofread documents, and ensure proper formatting and accuracy
  • Assist with bookkeeping tasks including basic invoicing and record keeping
  • Support office management tasks such as supply ordering, mail distribution, and maintaining a tidy workspace
  • Provide excellent customer service support via phone, email, or in person
  • Manage administrative tasks including typing reports, proofreading documents, and supporting personal assistant duties if required
  • Maintain confidentiality of sensitive information and adhere to office policies

Experience

  • Prior office experience or administrative support roles preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and front desk operations
  • Familiarity with QuickBooks or similar bookkeeping software is advantageous
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent phone etiquette and customer service skills
  • Bilingual abilities are highly desirable to serve diverse populations effectively
  • Proven ability to manage time efficiently in a fast-paced environment
  • Clerical experience including data entry, filing, proofreading, and calendar management is preferred
  • Experience in catering or food business roles is a plus but not required

Job Type: Part-time

Pay: $15.00 - $18.00 per hour
