Role Description The Catering Sales Coordinator is a full-time, on-site role based at DoubleTree by Hilton in Raleigh, NC. This role supports the catering and sales teams by managing event inquiries, preparing proposals and contracts, and maintaining accurate event details in the hotel’s sales systems. The coordinator communicates with clients to confirm event specifications, coordinates with internal departments such as banquet, culinary, and front office, and helps ensure flawless execution of meetings, weddings, and special events. Day-to-day responsibilities include responding to phone and email inquiries, tracking deadlines, preparing Banquet Event Orders, organizing files and reports, and assisting with site tours and client follow-ups. The role also supports revenue generation through upselling catering packages, monitoring booking pace, and contributing to sales initiatives and administrative tasks as needed.

Qualifications
- Catering and events coordination skills, including managing event details, preparing Banquet Event Orders, and supporting on-site execution of meetings and social functions.
- Sales and customer service abilities, such as handling inquiries, building client relationships, upselling services, and providing professional, guest-focused communication.
- Administrative and organizational skills, including proficiency with office software, data entry in sales or CRM systems, document preparation, and accurate record-keeping.
- Communication and teamwork capabilities, including clear written and verbal communication, collaboration with cross-functional hotel teams, and professionalism with diverse clients.
- Time management and problem-solving skills, with the ability to prioritize multiple events, meet deadlines, and resolve issues quickly in a fast-paced hospitality environment.
- Previous experience in hotel catering, events, or hospitality sales is preferred; knowledge of hotel operations and food & beverage services is beneficial.
- High school diploma or equivalent required; an associate or bachelor’s degree in hospitality, business, or a related field is an advantage.
- Availability to work a flexible schedule, including occasional early mornings, evenings, weekends, and holidays based on event demand.
