This Administrative Assistant is part of an administrative team that is responsible for regular and special project administrative support to DinoMights and its Executive Director; reporting to the Executive Director. The Administrative Assistant provides advanced-level customer service to internal and support to external customers by performing a variety of complex administrative support activities, which contribute to efficient office operations and require a thorough understanding of office procedures. Assignments range from answering phones, maintaining records, drafting materials, preparing documents for internal and external use, tracking and follow-up, compiling information, and creating spreadsheets.

Areas of Responsibility
Administrative Support 55%
- Assist the Executive Director with DinoMights business and programming needs.
- Assist with the scheduling needs of the Executive Director.
- Donor data entry and allocation via online interaction with existing CRM and various online payment processing and gateway software
- Prep and deposit of incoming checks
- Generates correspondence, reports, tables, statements, cards, envelopes, official documents, resolutions, minutes, and forms from verbal and/or written instruction or recorded, longhand, or printed copy.
- Manages and maintains documentation for public consumption; receives, sorts, and prioritizes documents; assists teams with surveys and compilation of data received;
- Provides general office and clerical functions such as answering the phone, direct calls, call log tracking, ordering office supplies, completing purchase orders, and archiving.
- Maintains databases and helps prepare/create reports, presentations, and data as assigned/requested;
- Gathers and compiles information and maintains documentation related to grants, contracts, proposals, etc.; consults with other DinoMights staff as needed; monitors and calls attention to related key dates for annual and multiple-year plans, projects, contracts, etc.
- Performs desktop publishing activities; receives and proofs material for business cards, letterhead, envelopes, brochures, and other printed material, and presents camera-ready documents to the printer; prepares completed published documents for mailing and/or distribution.
- Supports DinoMights staff by arranging travel needs, including airfare, lodging, and car rentals, and creating itineraries.
- Assist in planning company events, meetings, luncheons, and employee team-building events or special projects;
- Attends and participates in staff meetings.
- Perform regular website updates with input from DinoMights team or relevant current activities; website edits or graphic updates as requested.
- Insurance and HR Oversight: Assist the HR Consultant with the insurance renewal process and obtaining certificates of insurance, or provide the same when required
- Assist HR Consultant with benefits tracking, plan entry, and participation support coordination with benefit providers for renewals, year-end testing, and other tasks as determined.
- Event Support: coordination with the team to support any facets necessary to ensure the successful outcome of an event(s): sponsorship tracking and deliverables, event registration set up and support, volunteer management, web page build outs, speaker and presenter support, awards program assist, volunteer coordination, onsite or virtual support, initial site sourcing, and other as needed.
- Performs other duties and projects as assigned by the supervisor.
Fundraising 15%
- Assist in planning and executing fundraising events as they arise. Possibilities include fall fundraiser, car wash, Billy Lindsay Run, wild program sales, etc.
- Design and create promotional materials for DinoMights.
- Thanking Donors
- Assist the Director in advancing the cause of DinoMights
- Assist with any Administrative tasks as necessary.
Youth Programming and Administration 30%
- Student registration process
- Student Retention process and associated data
- Scheduling of ice time and submission of requests to the area ice arenas
- Special event planning
- Additional program services
MINIMUM EDUCATION AND/OR EXPERIENCE REQUIRED:
- Associate Degree or experience in a related field.
- Strong communication and interpersonal skills.
- Strong organization skills.
- Ability to execute on details.
- Passion for the program and our mission.
- Commitment to inclusivity and creating a welcoming environment.
- Respect for and agreement with the faith-based nature of the DinoMights organization.
- Background check and child abuse prevention training (organizational support provided).
MINIMUM TECHNICAL SKILLS REQUIRED:
- Google Suite programs
- Salesforce CRM skill is preferred
- Experience with online giving platforms
- Basic computer skills
SPECIAL SKILLS OR KNOWLEDGE NEEDED:
- Strong interpersonal skills, including the ability to manage conflict, build relationships
- Strong organizational strategy skills, including managing, focusing on participant and community needs
- A desire to integrate Biblical knowledge with the felt needs of program participants
