POSITION SUMMARY: Manages the day-to-day operations of the Company’s office suites, including but not limited to procurement of IT hardware/software, licenses, office supply inventory, and printing. Provides oversight of the property management company for the real estate businesses. Serves as the primary liaison for vendor management. Provides oversight of printing, printing equipment, and office supply inventory, and works to ensure employees have the necessary tools for productivity while ensuring and maintaining a safe work environment.
Essential Functions:
Facility & Office Management
- Act as the main property owner point of contact for building management, janitorial staff, security, and maintenance contractors
- Manage the daily upkeep of the office space, ensuring a clean, safe, and organized environment.
- Optimize office seating and layout to improve efficiency
- Schedule and oversee building repairs, office renovations, and equipment servicing Prepare, install, and troubleshoot workstations for new hires and existing staff
- Coordinate with HR for employee onboarding, setting up workspaces, and handling equipment returns
- Maintain safety protocols, manage security keys/passes, and ensure compliance with health and safety regulations
IT & Technology Procurement
- Purchase, track, and manage inventory of IT equipment (computers, phones, peripherals) and software licenses.
- Collaborate with IT departments or external IT vendors to manage office tech infrastructure and troubleshoot issues.
- Maintain accurate, up-to-date records of all IT assets and software subscriptions.
- Negotiate contracts and pricing with vendors to reduce costs and maintain quality.
Administrative Services
- Manage all printing equipment, including purchasing, lease agreements, and service contracts for printers and copiers.
- Monitor inventory levels and purchase office supplies, pantry items, and stationery to ensure uninterrupted operations.
- Assist in managing the office general & administrative (G&A) budget, ensuring timely processing of invoices and payments.
- Implement and enforce office policies, safety protocols, and procedures.
- Oversees part-time operations support staff member
- Performs other duties as assigned
Requirements:
- 7 years of experience in office management, facilities management, or a related administrative role; and procurement
- Bachelor’s Degree in facilities management or related field preferred
- Strong negotiation skills and experience managing vendor contracts. Maintaining high levels of service from building and IT vendors.
- Proficiency in MS Office Suite (Word, Excel) or Google Workspace. Experience with, or ability to learn, IT inventory management systems.
- Exceptional organizational and time-management skills to manage multiple priorities simultaneously.
- Ability to resolve facility issues and technical equipment problems quickly.

- Ability to lift up to 50 lbs, sit, stand, walk and bend.
- Extended hours expected when business needs dictate
Attendance Requirements:
- 40-hour workweek (M-F) as assigned and additional hours as required
