Job Description Summary
The purpose of this position is to provide complex clerical, administrative support, and direct services to a department and/or dean, and to act as a liaison between the office and divisions under the department. This is accomplished by completing administrative, secretarial and technical duties for a division, assisting other clerical staff, overseeing the work of student workers and coordinating clerical functions. Other duties include completing routine clerical tasks and support activities.
Minimum Qualifications
Associate’s degree AND two (2) years of related experience
Required Job Knowledge, Skills, Abilities
Proficient in the use of Microsoft Excel, Outlook, PowerPoint, Publisher and Word.
Excellent customer service skills with ability to communicate courteously and effectively with students, faculty, staff, and public.
Detail-oriented.
Strong written and verbal communication skills including website updates, social media, and marketing materials.

Perform routine support tasks primarily involving customer service and clerical activities by answering the telephone and taking messages, referring callers, maintaining calendars, processing requests for information and providing information, entering and maintaining data; answering routine inquiries; and file and maintain data including personnel records, instructor/course credentialing, correspondence, files, and reports.

Assist with managing a balanced budget/s that involves ordering equipment, materials and supplies by initiating and processing requisitions; interact with other departments and personnel; maintain building inventory and prepare, submit and monitor budget expenditures.

Coordinate meetings and projects as assigned by researching and compiling information for projects or events; oversee workers assisting with projects; and assist instructors with presentation materials, equipment and supplies. Taking minutes of meetings as needed and providing transcripts.
Job Duty
Prepare, coordinate and/or supervise internal and external communications, including direct mail, press releases, brochures, websites, and other print, on-line and social media communications. Collaborate with the College Relations Office to assure consistent, professional communications effort for the DMC/CE/Workforce Development Programs.
Job Duty
Prepare reports for both internal and external use by reviewing information, preparing materials or entering information into databases; review draft information; proofread all materials and submit information to affected parties.
Job Duty
Review, coordinate, and communicate project and grant timelines and requirements to Dean and/or Directors which ensures critical deadlines are met by the departments.
