Service Estimator - HVAC/R
Position Overview
A growing mechanical contractor is seeking a detail-oriented Service Estimator for HVAC/R to support our service operations by producing accurate, timely estimates and proposals for HVAC and refrigeration service, maintenance, and repair work. The role combines technical HVAC knowledge with estimating best practices to ensure projects are scoped correctly, profitable, and meet client expectations. The ideal candidate will liaise with technicians, clients, and project managers to translate field findings into clear, competitive bids.
Key Responsibilities
- Conduct on-site assessments and review service reports to define scope of work for service, repair, and retrofit projects.
- Prepare accurate estimates that include labor, materials, equipment, subcontractor costs, permits, overhead, and margins.
- Perform takeoffs, bill of materials, and parts pricing using manufacturer catalogs, vendor quotes, and internal cost databases.
- Develop clear, professional proposals and scope documents for clients, including terms, timelines, and exclusions.
- Coordinate with service technicians, project managers, and dispatch to verify field conditions and resolve scope questions.
- Maintain and update estimating templates, pricing lists, and historical job data to improve accuracy and consistency.
- Use estimating and CRM software to track quotes, approvals, and follow-ups; ensure timely response to RFPs and service inquiries.
Qualifications
- Minimum 3 years of experience in HVAC systems with demonstrated estimating or field service background.
- Strong technical knowledge of HVAC systems, controls, air distribution, hydronic systems, and basic electrical components.
- Proven ability to read mechanical drawings, schematics, and service reports.
- Proficiency with estimating software and Microsoft Excel; experience with CRM or service management platforms is a plus.
- Required: solid HVAC experience (system diagnosis, components, common failure modes).
- Nice to have: refrigeration experience (commercial or industrial refrigeration systems).
- Nice to have: prior service experience or background as a service technician, including familiarity with service calls, emergency repairs, and maintenance agreements.
- EPA Section 608 certification or other relevant HVACR certifications preferred; NATE certification or technical degree is a plus.
