Atlantic Mechanical is a full service HVAC and Refrigeration contractor that works exclusively with commercial clients in the South Shore/Boston MA area. The Service Estimator's primary function will be the researching, sourcing, and procurement of parts and materials needed for both service follow up and work requiring a quote. The SE will effectively communicate and coordinate with technicians, vendors, and other office team members to ensure prompt, courteous, and proper service to our customers.
Duties Include:
- Follow up calls and quality control calls ( I have a script for this)
- Service quotes
- Confirm parts, assign purchase order, produce quote for customer, monitor status, order parts upon approval or close out quote at expiration or customers rejection, pass on approved quote for scheduling to Dispatcher
- Updating clients on quote status
- Updating portals as needed
- Staging materials/check in parts
- Tracking and applying for permits
- Warranty management
- Applying for warranty, returning parts, submitting invoices and forms
- Returning unused parts for credits
- Invoicing assistance and review
- OT monitoring for billing and for payroll
- Client on boarding
- Parts ordering
- Client check ins- customer service function
- Oversee OT calls after hours every other week- triage as needed
- Escalated issues, invoice disputes autophrized to discount up to $500 to alleviate customer concerns.
- Work order reviews for quoting opportunities
- Preventive maintenance after work reports- send WO summary and review of recommendations and quotes and equipment status or ratings
- All quotes found on PMs for maintenance department (gaskets, motors, hinges, etc.)
- Serve as a point of contact for commercial clients, ensuring timely communication and updates
- Handle service follow-ups, warranty issues, and minor customer escalations
- Generate all customer quotes resulting from technician findings, service calls, and maintenance inspections, including follow-up communications to close opportunities; review and finalize related service reports and maintenance proposals as needed
- Ensure service work aligns with company standards and customer expectations
- Assist with invoicing, billing accuracy, and work order documentation
- Assist with daily and weekly reports on service activity, open jobs, aging work orders, and KPIs
- Assist with technician training records, safety logs, certification status, and compliance documentation
- Support inventory control, tool tracking, and vendor coordination for repair parts and rentals
- Additional duties as required
A minimum of 2 YEARS experience in the HVAC industry preferred.

Pay: $70,000.00 - $90,000.00 per year
