Legal Assistant - Litigation
Position Overview
We are seeking a proactive Legal Assistant to support our litigation team in all phases of civil litigation. The successful candidate will manage dockets and case calendars, assist with motion practice and discovery, prepare and file court documents, coordinate scheduling and settlement activities, and maintain organized case management systems to ensure timely and accurate legal support.
Key Responsibilities
- Manage court dockets and litigation calendars, track deadlines, and ensure timely service and filings.
- Prepare, proofread, and electronically file pleadings, motions, briefs, exhibits, and other court documents in compliance with local rules.
- Support motion practice by compiling exhibits, drafting supporting documents, preparing declarations, and tracking oppositions and court orders.
- Administer the discovery process: prepare requests and responses, organize document productions, maintain privilege logs, and coordinate review workflows.
- Maintain case files and update case management systems (case status, documents, contacts, and deadlines) to ensure accurate record-keeping.
- Coordinate scheduling for depositions, mediations, hearings, client meetings, and trial logistics; manage witness and counsel communications.
- Assist with settlement processes including drafting settlement agreements, coordinating signatures, and organizing closing documentation.
- Communicate with clients, opposing counsel, court clerks, and vendors; manage incoming correspondence and provide regular case status updates.
- Support trial preparation by organizing exhibits, preparing trial binders, and arranging courtroom logistics and technology needs.
- Perform administrative tasks including preparing billing/time entries, managing mail, and maintaining office supplies as needed.
Qualifications
- 4 years of litigation legal assistant in a law firm or corporate legal department.
- Proven experience with docket management, case management systems, and e-filing platforms (e.g., CM/ECF, PACER, Clio, iManage).
- Direct experience supporting motion practice, discovery management, and court filings.
- Strong organizational skills and Detail Oriented approach to document preparation and deadline tracking.
- Experienced with scheduling complex calendars for depositions, hearings, and trials.
- Familiarity with discovery procedures, privilege logs, and document production workflows.
- Excellent written and verbal communication skills and a professional client-facing manner.
- Ability to prioritize multiple matters, work under pressure, and meet firm and court deadlines.
- Associate degree or paralegal certificate preferred; bachelors degree a plus.
- Proficient with Microsoft Office (Word, Excel, Outlook), PDF software, and common litigation support tools.
