Basic Function of the Position:
Lead planning and execution for key CTA events and CES conferences, owning end-to-end logistics, cross-functional coordination, and complex budget management.
Critical Duties and Responsibilities:
CTA Events
- Serve as project lead for assigned CTA events, driving timelines, project plans, and stakeholder alignment.
- Lead event logistics, including room sets, BEOs, room blocks, vendor management, and shipments, escalating issues and making day-of decisions as needed.
- Oversee the end-to-end attendee experience, including communications, registration, onsite customer service, transportation, and activities logistics.
CES Conferences
- Own the CES conferences budget, including forecasting, contract inputs, invoice approvals, and monthly reconciliation; track inputs for related CES budgets.
- Oversee CES conference logistics, including catering, signage, temporary staffing, registration orders, and onsite troubleshooting.
- Partner with the CES Operations team on stage design, room sets, A/V, and production, acting as primary conference liaison.
- Serve as an account manager for CES Conference Partners, providing customer service support and speaker tracking in collaboration with the Conference Partner team as assigned.
- Create and deliver onsite staff training for CES, including service expectations and escalation paths.
Continuous Improvement
- Develop and maintain SOPs and documentation for conference and event processes.
- Stay current on event industry trends, budgeting and contract best practices, and new event technologies; recommend improvements.
Work Experience:
- 5-7 years of experience in event management including ownership of multi-event portfolios and complex budgets.
- Proven experience leading programs with C-level executives, Boards, or VIP audiences, including high-touch communication and on-site support.
- International event experience preferred.
Education/Training:
- Bachelor’s degree in Events, Marketing, Communications or related field preferred, or comparable work-related experience.
- CMP strongly preferred.
- Experience with Microsoft Office Suites required; familiarity with task management and registration platforms preferred.
Skills/Capabilities/Technical:
- Strong attention to detail, time management skills, flexibility, and the ability to effectively manage multiple priorities under tight deadlines.
- Demonstrated strength in budget development, forecasting, and reconciliation for complex, multi-line event budgets.
- Excellent customer service skills are essential
- Excellent interpersonal and communication (oral and written)
- Strong computer and database management skills with proficiency in Microsoft Word, Excel, PowerPoint, and other Windows-based applications.
Budget and Staff:
- Primary owner for seven-figure CES conferences budget and assigned CTA event budgets, including forecasting, tracking, and reconciliation.
Additional Information:
- Travel to CTA events and CES is required, including international travel.
