About This Position
The City of Phoenix Human Services Department (HSD) enhances the health, wellness, and quality of life for Phoenix residents by providing a comprehensive array of services to help people meet emergency, short and long-term needs; and to help every individual reach their highest level of self-sufficiency. HSD offers a wide variety of programs for children, adults, and families at numerous locations throughout the city. This position will support secretarial needs at the Victim Services Division (VSD) within the Human Services Department. VSD provides advocacy and services to victims of domestic violence, sexual assault, and human trafficking at the Phoenix Family Advocacy Center.
The Secretary II position performs skilled secretarial and general clerical work that requires typing, filing, and other related functions.

Duties Include, And Are Not Limited To
- Answering telephones and routing calls to appropriate staff.
- Greeting visitors and directing them to the appropriate persons according to their needs.
- Typing documents from clear copy rough draft, or hand-written notes using a computer.
- Proofreading and editing documents for correct spelling, grammar, and format.
- Establishing and maintaining paper and electronic filing systems for records correspondence, and other material.
- Scheduling meetings or interviews, booking conference rooms, and maintaining a computer calendaring system.
IDEAL CANDIDATE
- Ability to maintain detailed record keeping.
- Ability to maintain confidentiality.
- Ability to work with a diverse group of coworkers at all levels
- Demonstrates excellent written and verbal communication skills.
- Knowledge and familiarity with Excel, PowerPoint, publisher, and drafting marketing materials.
- Understand the responsibility of objective and detailed record keeping while maintaining confidentiality.
Pay Range: $18.16 - $25.56 per hour.
Hiring Range: $18.16 to $23.18 per hour.

- Pay range is the entire compensation range for the position classification.
- Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.
- Promotions occur when the last two digits of the pay grade increase.
- Demotions occur when the last two digits of the pay grade decrease.
- Lateral transfers occur when there is no change to the last two digits of the pay grade.
- When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

Minimum Qualifications
- Two years of secretarial experience,
- Including training in office productivity software and the use of modern office equipment.
- Other combinations of experience and education which meet the minimum requirements may be substituted.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- This position requires the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

The minimum qualifications listed above, plus:
- Spanish proficiency, written and oral.
- Proficiency using Microsoft Office functions in Word, Excel, and PowerPoint.
- Experience in/with:
- Performing procurement functions, accounts payable functions, and tracking contracts.
- Using SAP/SRM.
- Providing quality customer service to the public by telephone, email, or in person.
- Proofreading and editing documents for correct spelling, grammar, and format.
- Frontline reception.
- Scheduling, booking rooms, and maintaining calendars.
- Keeping inventory and ordering office supplies.
- Managing electronic files.
- Organizing and submitting reports.
