OFFICE MANAGER
Position summary
The position of Office Manager is a very special ministry, as the person can be one of the first person(s) the public sees and talks to; and must strive to provide a welcoming, confidential and positive environment for all visitors to the church or callers during office hours. The Office Manager plays a vital role in supporting the daily operations of the church office and supports the congregation by responding to congregational and community requests; while providing support for activities of the church, the Pastors and Church Council. All tasks require efficiency and accuracy, with a high level of confidentiality.
Compensation and Schedule
The Office Manager will have office hours from 9:00AM - 2:00PM, Monday through Friday. The Office Manager will be compensated at the rate of $22.00/hour for 25 hours per week.
Key Responsibilities
Assist congregation and community members by responding to in-person visits, incoming phone calls, emails and postal correspondence
Oversee physical building daily; alerting property committee of items needing attention
Prepare and print weekly bulletins for worship services and special services (e.g. funerals, weddings)
Produce digital announcement slides
Compile and mail monthly newsletter and calendar
Maintain accurate church records, attendance records, offering envelope database, and mailing lists
Prepare mailings, reports and other ministry supports as needed
Oversee office equipment maintenance, especially the copier, and order necessary supplies, including worship-related items (e.g. flowers, palms, candles, wine)
Track donations for special contributions (e.g. memorials)
Oversee building-use calendar; act as contact person for outside groups that use the building; facilitate building-use schedule requests; maintain agreement file for all outside parties who rent facilities
Maintain control for all keys used for the building.
Maintain worship assistant schedule for Sunday services
Prepare worship space for weekly services (e.g. filling candles, changing altar linens, changing sanctuary banners), including setting up communion items (e.g. filling wine/juice cups)
Support DuBois Area Food Pantry operations by updating and printing necessary forms
As assigned by Pastor, recruit and delegate tasks to volunteers
Maintain and keep updated the already existing rolodex and church registry
Required skills and experience
Proven ability to handle information and situations with discretion and professionalism
Strong organizational and communication skills. Demonstrated ability to multitask and manage time effectively. Able to be a self-starter and work independently. The Office Manager should give extreme attention to details, and demonstrate top notch computer skills with proficiency in Microsoft Office 365, Microsoft Word and Excel.
Pay: From $20.00 per hour
