SUMMARY
The Advancement Services Coordinator provides essential administrative and data support to the Development team, including gift entry, acknowledgment processing, donor database maintenance, and reporting support. This role also manages accurate tracking and reporting of volunteer engagement, in-kind contributions, and distribution center inventory.
A successful candidate ensures all contributions are recorded properly, donor and volunteer records remain current, campaign tracking data is reliable, and monthly reports are timely and precise. This position requires strong attention to detail, consistency, and the ability to manage routine processes with accuracy, efficiency, and discretion.
RESPONSIBILITIES
Gift Entry and Processing
- Perform daily gift entry for all contributions
- Track pledges and payments
- Maintain documentation to support audit readiness
- Generate tax-compliant receipts and acknowledgment letters
- Reconcile with accounting
Donor Database Management
- Maintain accurate donor and constituent records within the CRM
- Update contact information, coding and campaign designations
- Ensure adherence to internal data standards, campaign tracking, pledge tracking, etc.
- Support post-event reconciliation and reporting
Reporting and List Management
- Pull mailing lists and donor segments for campaigns and events
- Prepare revenue and donor reports
- Support dashboard updates with accurate data entry
Volunteer Data Management
- Maintain complete and accurate volunteer records in database
- Track volunteer hours, assignments and engagement history
- Ensure proper coding of volunteer roles and participation
- Generate monthly volunteer activity reports
In-Kind Donation Processing
- Record and acknowledge in-kind gifts in accordance with internal policies
- Maintain records of donated inventory within the distribution center
- Track incoming and distributed items
- Reconcile inventory reports with in-kind donation records
- Produce monthly inventory and in-kind contribution reports
- Perform other duties as assigned
EDUCATION AND EXPERIENCE
· Bachelor’s degree in business administration or related field preferred
· One to two years of advancement services, data entry or nonprofit support experience
· Experience working with a database or CRM system
· Fundraising education or experience a plus
KNOWLEDGE, SKILLS, ABILITIES
· Strong attention to detail and organizational skills
· Excellent written and verbal communication skills
· Professional demeanor
· Knowledge of fundraising processes and best practices
· Proficiency in Microsoft Office, Outlook, OneNote, Teams, and related tools
· Boomerang experience a plus
· Ability to handle confidential data with discretion
