Our client, a civic and social organization, is looking for a temp to perm Receptionist/Administrative Assistant to support their Needham, Massachusetts office.
This role starts asap with a potential to go permanent if the right fit.
Hours: Monday–Thursday: 7:30 AM – 4:00 PM, Friday: 7:30 AM – 1:00 PM
*Fully onsite
Location: Needham, Massachusetts
Responsibilities:
- Greet and assist residents, applicants, vendors, and visitors professionally
- Serve as primary contact for in-person and phone inquiries
- Manage multi-line phone system; screen and route calls
- Log calls, retrieve voicemails, and distribute messages promptly
- Provide clerical support including data entry, filing, scanning, copying, and emailing
- Assist with mass mailings and maintain office supply inventory
- Review incoming mail
- Date-stamp, sort, and distribute mail and documents
- Provide receipts for tenant-submitted documents upon request
- Receive maintenance requests and forward to Maintenance Department
- Enter, track, and maintain accurate work order records
- Distribute housing applications and assist with waiting lists
- Maintain confidentiality of applicant and tenant information
- Maintain confidentiality of sensitive information
- Support compliance with HUD, EOHLC, and NHA policies
Qualifications:
- High School Diploma or GED required.
- Experience in public housing or property management is desirable but not required.
- Well organized and detail oriented
- Ability to work alongside a team
- Strong communication skills
