A leading, high-growth organization is seeking a senior Office Administrator to lead their San Francisco office. This firm is consistently recognized as a "Top Workplace" offering a transparent leadership culture and a strong commitment to professional development.
This is a high-impact leadership role responsible for the operational and administrative administration of a fast-paced office. We are looking for a direct, confident communicator who can act as a strategic partner staff while serving as a dedicated mentor overseeing approx. 20 support staff. The ideal candidate has experience managing large-scale operations or multiple regional offices and thrives in an environment that values professional excellence and high-level client service.
Location: San Francisco Schedule: Hybrid (3 days in-office / 2 days remote).Hours: 8:30am – 5:00pm
Key Responsibilities:
- Team Leadership & Mentorship: Oversee, train, and mentor a support staff of 20 . You will manage performance standards, conduct reviews, handle disciplinary conversations when necessary, and approve PTO/timecards via ADP.
- Financial Management: Partner closely with the CFO and senior leadership to develop and manage the annual office budget; analyze financial operations to ensure costs remain within plan.
- Operational Oversight: Manage all facility needs, vendor relationships, and office housekeeping. Ensure the space remains professional and highly functional, from kitchen inventory to meeting room logistics.
- HR & Recruitment: Collaborate with Recruiting and HR departments to manage the end-to-end hiring process for staff and assist with onboarding.
- Culture & Events: Plan and implement office-wide events, including holiday parties, summer outings, and firm luncheons, to maintain a harmonious work environment.
- Liaison & Support: Act as the primary bridge between the San Francisco office and the national headquarters to ensure consistency in firm policies and guidelines.
The Ideal Candidate:
- Experience: 5 years of experience as an Office Administrator – someone used to managing significant headcounts and complex operations
- Communication Style: A hardworking, professional, and confident communicator who is well-received all staff. You must be comfortable making high-level decisions.
- Technical Proficiency: Strong understanding of software systems, Word, Outlook, and ADP.
- Education: A Bachelor’s Degree is preferred.
- Mindset: A "First in Service" approach with the ability to troubleshoot, problem-solve, and think outside the box in a high-pressure environment.
