ANNOUNCEMENT OF POSITION VACANCY
SUMMARY: The Executive Director reports directly to the Senior Associate Vice President of Enrollment Management Services and under general administrative direction, plans, organizes, and oversees the activities and operations of several target audience pre-college programs, namely TRIO. This includes seven Upward Bound and Upward Bound Math Science federally funded programs. Executive Director also authors grant proposals, ensures funding for programs, ensures programmatic, budget regulation and expenditure compliance, writes program curriculum, submits program reports to funding agencies; supervises and evaluates performance of program classified staff, instructors and students and performs other duties, as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- This person will participate in the following activities. Other duties may be assigned.
- Maintain current knowledge of new or changing U.S. Department of Education related regulations; develop and modify procedures and standards accordingly.
- Analyze and forecast expenditures for federal student services programs.
- Oversees group counseling and individual counseling activities for Upward Bound Programs.
- Collaborates with the UBMS Director and supervises entire academic year and residential component of summer program for all UB and UBMS Programs.
- Coordinate and supervise of the entire academic year counseling component, including college admission process, financial aid application, career exploration, academic and personal counseling, and visits to homes of participants for UB Programs.
- Facilitate all interviewing, training, supervising, and evaluating the performance of residential counselors during the summer for UB and UBMS Programs.
- Facilitate the identification, interviewing, and recommendations of the selection of eligible participants through student and parent interviews for UB and UBMS Programs.
- Compile and submit reports and documentation on pertinent demographics of target schools, project enrollment, and student contacts.
- Participates in college matriculation and all project activities and oversees field services at target schools for quality control and auditing as needed for UB and UBMS Programs.
- Facilitate scheduling and coordination of the administration of academic achievement instruments; group interpretation and statistical analyses of participant and research data; conduct short term and longitudinal studies related to project; and oversees the composition of research reports of the results of the project for UB and UBMS Programs.
- Conducts regularly scheduled meetings, training sessions, and student/parent meetings for UB and UBMS Programs.
- Plan and manage dissemination of information about TRIO Pre-College Programs, Cal Poly Pomona, Financial Aid and higher education opportunities to high school counselors, teachers and students, community agencies and the public.
- Collaborate with Cal Poly Pomona divisions, college staff and area high schools to regarding opportunities for high school students to start college and career through guidance courses and other support services (e.g., TRIO, GEAR UP, AVID, EOP, EOP&S, CalWORKs).
- Serves as project representative and liaison with Pomona and Chaffey Joint Union Unified School District officials and various education and community agencies for UB and UBMS Programs.
- Writes reports for funding, and oversees development of brochures, application materials and other project publications.
- Participates in all project activities and field trips throughout the state, taking place on weekends and school holidays as needed.
- Address student discipline and conduct issues, meet with parents, principles, counselors to follow policies on suspension and/or removal of student from program.
- Must have the ability to work evenings, weekends and travel off campus.
SUPERVISORY RESPONSIBILITIES: Directly manage and supervise management, staff. Is responsible for hiring, training, assigning job duties and tasks, supervising, evaluating, disciplining an ensuring that subordinates complete job tasks. Is responsible for performance failures of subordinates and department.
MINIMUM QUALIFICATIONS:
- MA or MS in an appropriate field of study (including Public Administration, Education leadership, social science or humanities, or other relevant field of study) with 10 years successful administrative experience in TRIO or similar programs.
- Minimum five years of significant administrative experience preferably in TRIO or similar youth-serving program.
- Successful proposal writing experience required.
- Doctorate degree in relevant field of study may replace up to 3 years of experience but not required.
