Front Office Assistant – Full Time

Position Summary
Under the general direction of the Practice Manager, Physician, and/or Mid-level Provider, the Front Office Assistant supports both front-office and clinical workflows based on the needs of the practice and the flow of the day. This position is responsible for providing excellent customer service to patients while ensuring efficient daily clinic operations.
Key Responsibilities
Manage clinic scheduling, answer phones, and greet patients in a professional and welcoming manner.
Prepare, organize, and file patient charts.
Verify insurance coverage, benefits, and obtain required authorizations for incoming patients.
Collect co-pays and provide accurate receipts to patients.
Make timely calls or send faxes to insurance companies to secure authorizations and verify benefits, ensuring compliance and avoiding penalties for late notifications.
Assist with basic billing and Health Information Management (HIM) tasks.
Support back-office processes as needed, including coordinating and filing tests, processing dictation, and preparing paperwork necessary for patient intake and care plan activities.
Participate in the delivery of high-quality medical services while maintaining confidentiality and professionalism at all times.
Qualifications
Previous front office, medical office, or customer service experience preferred.
Strong communication and organizational skills.
Ability to multitask and work efficiently in a fast-paced environment.
Knowledge of insurance verification and authorization processes is a plus.
Basic computer skills and familiarity with electronic health records (EHR) preferred.
