Position Description

Blast Resource Group (BRG) is seeking a professional, organized, and service-oriented Office Administrator to serve as the first point of contact for our Houston headquarters while providing administrative support to multiple departments across the organization. This role is ideal for an individual who enjoys working in a fast-paced, collaborative environment and takes pride in keeping an office operating efficiently.

 

The Office Administrator will be responsible for managing day-to-day office operations, greeting visitors, answering and directing incoming communications, coordinating meetings and travel, maintaining office supplies and facilities, and providing administrative support to engineering, construction, accounting, human resources, and executive leadership as needed. This position requires exceptional organizational skills, attention to detail, professionalism, and the ability to effectively prioritize multiple responsibilities while maintaining a positive and welcoming environment for employees, clients, and business partners.

Key Responsibilities

  • Serve as the first point of contact for visitors, clients, vendors, and callers by providing a professional and welcoming experience.
  • Answer, screen, and direct incoming phone calls, emails, and general inquiries to the appropriate personnel.
  • Manage front office operations, including maintaining reception areas, conference rooms, kitchens, and common spaces in a clean and organized manner.
  • Coordinate meeting logistics, including scheduling conference rooms, preparing meeting spaces, and arranging refreshments as needed.
  • Manage incoming and outgoing mail, courier services, packages, and office deliveries.
  • Order, inventory, and replenish office supplies, breakroom supplies, and other operational materials while maintaining vendor relationships.
  • Provide administrative support to engineering, construction, accounting, human resources, and executive leadership, including document preparation, filing, data entry, and general correspondence.
  • Coordinate employee travel arrangements, lodging, rental vehicles, and meeting logistics as requested.
  • Assist with onboarding new employees by preparing workspaces, coordinating office access, ordering equipment, and supporting orientation activities.
  • Maintain office records, filing systems, and electronic documents in accordance with company procedures.
  • Assist with organizing company meetings, training events, employee activities, and client visits.
  • Support accounting by processing incoming invoices, expense reports, mail distribution, and other administrative tasks as assigned.
  • Coordinate office maintenance requests and work with building management, contractors, and service providers to resolve facility-related issues.
  • Monitor office equipment, printers, and conference room technology, coordinating service or repairs when necessary.
  • Help maintain company forms, templates, and administrative procedures to improve office efficiency and consistency.
  • Support special projects and miscellaneous administrative assignments as directed by management.
  • Maintain confidentiality while handling sensitive employee, client, and company information.
  • Identify opportunities to improve office processes and contribute to a positive, organized, and collaborative work environment.

 

Qualifications

  • High school diploma or GED required; Associate's or Bachelor's degree in Business Administration, Office Administration, or a related field preferred.
  • Minimum of 2–5 years of experience in an office administration, receptionist, executive assistant, or customer service role.
  • Professional, courteous, and customer-focused demeanor with excellent interpersonal and communication skills.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams); experience with Adobe Acrobat and cloud-based collaboration platforms is preferred.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive company and employee information.
  • Experience coordinating meetings, travel arrangements, office events, and general administrative activities.
  • Strong written communication skills with the ability to prepare professional correspondence and business documents.
  • Self-motivated, dependable, and proactive with a willingness to take initiative and solve problems independently.
  • Ability to work collaboratively with employees, clients, vendors, and visitors while providing outstanding customer service.
  • Comfortable learning new software systems and adapting to changing business needs.
  • Ability to lift and transport office supplies or packages weighing up to approximately 25 pounds on an occasional basis.
  • Valid driver's license and reliable transportation preferred for occasional local errands or vendor visits.
  • Experience supporting engineering, construction, professional services, or industrial organizations.
  • Experience with Microsoft SharePoint, Teams, DocuSign, or electronic document management systems.
  • Experience coordinating office facilities, vendor relationships, and supply procurement.
  • Experience supporting recruiting, onboarding, or basic human resources administrative functions.
