What are the responsibilities and job description for the Legal Billing Analyst position at Beacon Hill?
Our client, a highly rated national IP law firm, is seeking a full-time Billing Analyst to join its Accounting team. This role will manage the full billing cycle for assigned attorneys and clients and play a key role in ensuring accurate, timely, and compliant invoicing. The billing process is primarily electronic, from pre-bill generation through invoice submission, using multiple billing platforms.
Key Responsibilities
- Manage the full billing cycle for a portfolio of assigned attorneys and clients in accordance with firm policies and client billing guidelines
- Set up and maintain client billing rules, billing codes, and timekeeper rates
- Run monthly and on-demand electronic pre-bills
- Edit and finalize pre-bills based on attorney direction and client requirements
- Submit invoices through various e-billing platforms, including editing and submitting LEDES files as required
- Send non-electronic invoices via email or mail when applicable
- Ensure all required supporting documentation is included with invoice submissions
- Monitor invoice status, resolve rejections and disputes, and ensure timely resubmission and payment
- Prepare client accruals and other billing related reports
- Respond to billing related inquiries from clients and internal stakeholders
- Create and maintain internal documentation for client billing instructions
- Train attorneys and administrative staff on billing policies and procedures
- Track invoice submissions, identify issues, and work with internal teams and e-billing vendors to resolve problems
- Maintain up-to-date timekeeper and rate information across e-billing platforms and submit approvals as needed
- Maintain a strong working knowledge of the firm's billing systems and processes
- Communicate billing issues such as rate approvals, delays, or special client requirements to appropriate parties
- Assist with additional administrative tasks and special projects as needed
Qualifications
- Prior experience with legal billing and electronic billing required
- Experience with Aderant Expert strongly preferred
- Experience with pre-bill management and imaging systems preferred
- Proficiency in Microsoft Office, with strong Excel skills
- High school diploma required; bachelor's degree in Accounting, Finance, or a related field preferred
- Basic understanding of accounting principles
- Strong written and verbal communication skills
- High attention to detail with excellent organizational and time management skills
- Ability to manage multiple priorities and work independently in a fast-paced environment
- Proven ability to maintain confidentiality of sensitive financial information
