7.Examples of Duties Accounting/Bookkeeping Duties 1) Reconcile tax payments against GL, prepare tax settlement spreadsheet, process journals 2) Process daily journal entries. 3) Calculate and charge by journal entry all Departments’ monthly expenses for postage, Xerox, fleet charges, and office supplies 4) Track current trends in Xerox, County Fleet, and Squad Car funds for expenses, revenues, and mileage. 5) Prepare worksheets and end-of-year reports and assist auditors during the audit. Including audit spreadsheets for postage, county fleet and Xerox charges. 6) Answer questions from Departments regarding proper budget procedures and account numbers to be used. 7) Reconcile Bank Accounts and Monthly Sale Book against GL and month-end. 8) Compile reports related to indirect costs 9) Compile Indirect Costs 10) Track fixed assets Reconcile all capital equipment accounts for the auditors at year end. 11) Prepare sales tax reports monthly, report to WI-DOR and prepare payment 12) Track CNG Gas reporting. Prepare journal entry to distribute CNG charges from utilities Report CNG fuel taxes to the state and prepare EFT payment and process Rebate 13) Process 1099 forms and 1095 forms at year end. 14) Reconcile sales book monthly with the Treasurer’s Office and Annually reconcile Tax Settlements. Compile data from Treasurer’s office to prepare journal entries. 15) Create new account numbers in the accounting software as needed. 16) Reconcile fiduciary funds (Clerk of Court, ROD, Tax Collections) 17) Process Void Checks and EFTs 18) Code invoices received by the County Administration Office 19) Assist with year-end close, audit preparation and audit adjustments. 20) Track and reconcile HRA and FSA accounts. 21) Other related bookkeeping/accounting functions as may arise. Miscellaneous 1)Provide assistance to County Administration with regard to trends, projections and data analysis related to county funds. 2) Draft budget amendment resolutions 3) Provide general information and direct public to proper department as needed. 4) Complete numerous surveys (unemployment, employment verification, wage/benefit, etc). 5) Serve as back-up for bi-weekly payroll. 6) Other duties as assigned. |
- Minimum of an Associate Degree in accounting, business, or finance. Preferred Associate Degree in Accounting.
- Five years of computerized accounting experience, preference for governmental and/or fund balance accounting.
- Working knowledge of, and/or demonstrated ability to quickly learn in-house computer systems.
- Significant computer experience, preference for experience with software used by Department (electronic mail, scheduling, office suite, ERP Systems, Teams, AI and Internet.)
- Meet bonding requirements.
- Reliable transportation and a valid driver’s license.
- Considerable knowledge of modern governmental accounting theory and practice.
- Considerable knowledge of the functions, procedures, and organization, laws and regulations governing the administration of a county.
- Considerable knowledge in the application of payroll accounting and the administration of fringe benefits.
- Experience in preparing and presenting information for financial audits.
- Demonstrated experience and expertise on the use of computer software including word processing, spreadsheet, database, e-mail, electronic scheduling and Internet usage.
- Ability to independently enter financial data efficiently and accurately and ability to transfer this knowledge to other staff when necessary.
- Ability to learn advanced computer applications from other computer operations and ability to transfer that knowledge to others when needed.
- Considerable knowledge of modern office practice and procedures and skills in their application.
- Ability to independently carry out special and general assignments requiring organization of material and development of procedures.
- Thorough understanding of county programs, operations, and policies with respect to functions performed.
- Ability to effectively communicate orally and in writing.
