Position Summary
We are currently recruiting for an Administrative Assistant lll. This position provides essential clerical and records management support to the Police Department. This position is responsible for performing a variety of administrative, data entry, and customer service duties, ensuring that departmental records, reports, and documentation are accurate, secure, and processed in compliance with state and federal regulations. The ideal candidate is detail-oriented, organized, and able to maintain confidentiality while supporting daily operations and assisting both staff and the public, and related duties as assigned. This full-time position is $17.00 per and is located in Baltimore, MD.

- Perform general office duties, including data entry, filing, scanning, and document management.
- Prepare correspondence, reports, forms, and memoranda using word processing and spreadsheet software.
- Answer and route phone calls, respond to emails, and professionally greet visitors.
- Maintain and organize personnel files, case files, and departmental records.
- Process incoming and outgoing mail and official communications.
- Enter and update incident reports, citations, summonses, and other law enforcement records in appropriate databases (e.g., RMS, NIBRS).
- Ensure the accuracy, security, and confidentiality of all police records and sensitive information.
- Process expungement requests, accident reports, and court-related documents.
- Conduct weekly and monthly audits of approved reports for validation and compliance.
- Submit required state and federal reports (e.g., NIBRS, UCR) within designated timelines.
- Assist with scheduling and coordination of departmental meetings, training sessions, and court appearances.
- Maintain inventory and order office and departmental supplies as needed.
- Support command staff with administrative reviews, internal documentation, and special projects.
- Track and log report approvals, corrections, and review notes from officers and supervisors.
- Provide information to the public, court representatives, and other agencies as authorized.
- Coordinate with courts, prosecutors, and law enforcement partners regarding report and record requests.
- Maintain a courteous, professional, and service-oriented demeanor when interacting with staff and community members.
- Participate in developing department goals, objectives, and systems
- Participate in staff meetings and attend other meetings and seminars as assigned.
- Recommend new approaches, policies, and procedures, to continually improve efficiency of the department and services performed.
- Efficiently performs duties as assigned and works as a team within division and company.
- Perform other related duties as assigned.
- Thorough understanding of office management systems, recordkeeping, and administrative procedures.
- Familiarity with law enforcement terminology, documentation standards, and confidentiality requirements.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and law enforcement software systems (e.g., RMS, CAD, NIBRS).
- Strong written, verbal, and listening communication skills; able to effectively communicate with individuals and groups.
- Exceptional organizational skills with a high degree of accuracy and attention to detail.
- Demonstrated ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Proven ability to provide excellent internal and external customer service while maintaining professionalism.
- Skilled in analyzing situations and determining appropriate courses of action.
- Ability to understand and follow established policies, procedures, and methods.
- Capable of handling sensitive and confidential information with discretion.
- Proficient in operating standard office equipment.
- Collaborative and adaptable, with a positive and team-oriented approach.
- High school diploma or equivalent (Associate’s degree preferred).
- Two (2) years of administrative, records, or clerical experience, preferably in a law enforcement or government environment.
- Ability to pass a background check and handle confidential information appropriately.
- Prolonged periods of sitting at a desk and working on a computer.
- Standard hours of work 8:00 AM to 4:30 PM Monday to Friday
