Position Summary

We are currently recruiting for an Administrative Assistant III responsible for providing administrative support to the department through data entry, client scheduling, record maintenance, customer service, application processing, and related duties as assigned. This full-time position is located in Baltimore, MD 21215, and the pay rate is $17.20. The schedule is Monday through Friday, 8:00 AM – 4:30 PM, 40 hours weekly. This is a 2-month assignment.

Essential Duties And Responsibilities

  • Support the department independently and as a collaborative team member.
  • Answer incoming calls, return calls, and maintain detailed call logs, including voicemail tracking.
  • Prepare Application/Renewal Detail Sheets for AWL applications.
  • Maintain logs for all incoming AWL applications and related documentation.
  • Schedule Thursday make-up appointments for new clients.
  • Prepare approval letters for Thursday appointments.
  • Distribute Thursday appointment schedules to frontline staff and Security personnel.
  • Update and note client accounts daily, including documenting no-show appointments.
  • Conduct reminder calls for Monday and Tuesday appointments.
  • Enter client intake information into FRID RNW & RP systems.
  • Enter client information into NIC for AWL processing.
  • Take and process Photo IDs for new, replacement, and Charm Card clients.
  • Respond to emails from multiple programs regarding client application status updates.
  • File denied applications and follow up with physicians and program representatives as needed.
  • Maintain and organize Health Care Provider licenses in the appropriate binders.
  • Assist in all departmental areas and perform additional administrative duties as assigned.
  • Participate in staff meetings and departmental trainings as assigned.
  • Recommend process improvements and administrative efficiencies when appropriate.
  • Efficiently perform duties while contributing positively to the department and company team environment.
  • Related duties as assigned

  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Ability to maintain accurate records and documentation.
  • Strong data entry and administrative support skills.
  • Ability to handle confidential client information professionally.
  • Proficient with Microsoft Office Suite and general office systems.
  • Ability to analyze situations carefully and take appropriate action.
  • Ability to understand and follow departmental procedures and guidelines.

Education and Experience:

  • High school diploma or equivalent required.
  • Previous administrative assistant, clerical, customer service, or office support experience preferred.
  • Experience working with client records, scheduling systems, or data entry platforms preferred.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to communicate effectively in person and over the phone.
  • Standard hours of work are Monday through Friday, 8:00 AM – 4:30 PM.
