We are seeking a detail-oriented and proactive Administrative Assistant to support our Commercial Property Management team. This role is essential in ensuring efficient daily operations, providing excellent tenant support, and assisting with administrative, financial, and property-related tasks. The ideal candidate Must have Yardi experience, is organized, professional, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Provide administrative support to Property Managers, including scheduling, correspondence, and document preparation.
Assist with tenant relations by responding to inquiries, coordinating service requests, and ensuring timely follow-up.
Maintain and update property files, leases, contracts, work orders, and vendor documentation.
Support accounts payable/receivable functions, including invoice processing, rent collection tracking, and financial reporting assistance.
Coordinate vendor services, obtain proposals, and ensure completion of maintenance and repair tasks.
Prepare property management reports, meeting minutes, notices, and other documentation as needed.
Assist with budgeting, expense monitoring, and maintaining accurate property records.
Help manage property inspections, compliance requirements, and safety documentation.
Perform general office duties such as answering phones, ordering supplies, scanning, and filing.
Qualifications
1–3 years of administrative experience; property management or real estate experience preferred.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn property management software (e.g., Yardi, MRI, AppFolio).
Exceptional communication and customer service skills.
Strong organizational abilities with high attention to detail.
Ability to handle confidential information with professionalism.
Strong multitasking skills and ability to meet deadlines.
