This role is critical in ensuring daily operations run smoothly by managing schedules, coordinating logistics, and handling a variety of professional and personal responsibilities.
This is a hands-on role that requires strong attention to detail, flexibility, and a willingness to take on tasks of varying complexity—from executive coordination to day-to-day personal support.
Key Responsibilities:
- Manage and maintain an active and frequently changing calendar, including scheduling meetings and appointments
- Provide transportation for the executive to meetings, events, and appointments using a company vehicle
- Prepare meeting materials, take notes, and assist with follow-ups as needed
- Coordinate logistics for meetings, including room setup and materials preparation
- Handle personal errands such as shopping, gift coordination, and appointment scheduling
- Support event coordination, including small gatherings, business functions, and personal events
- Maintain organization of office spaces and ensure supplies are stocked
- Assist with document preparation, filing, and general administrative support
- Track to-do lists and ensure priorities are executed in a timely manner
- Maintain cleanliness and upkeep of the executive’s vehicle, including scheduling maintenance
- Minimum of 2 years of experience providing direct support to an executive or individual
- Proven ability to manage multiple priorities and adapt in a fast-paced environment
- Strong organizational and time management skills with high attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and general computer applications
- Valid driver’s license with a clean driving record
- Ability to lift up to 50 lbs as needed
- Professional demeanor with a proactive, “no task too small” mindset
- Hourly pay range: $24–$26/hour, based on experience
- Opportunity for overtime
- Conversion salary range: $50,000–$55,000 annually upon permanent hire
