Job Description:
Addison Group is seeking a highly organized Sponsorship Operations Coordinator to support our client’s sponsorship and partnership initiatives. This role will assist with coordinating sponsorship deliverables, maintaining program materials, and ensuring commitments to sponsors are executed accurately and on schedule. The position works closely with internal teams and external partners to help manage multiple projects simultaneously in a fast-paced, deadline-driven environment.
Key Responsibilities:
- Assist with coordinating sponsorship offerings and marketing opportunities for events and programs.
- Prepare sponsorship agreements, confirmation documentation, and internal tracking materials.
- Support the creation and maintenance of sponsorship collateral, including brochures, spec sheets, and promotional materials.
- Maintain a centralized library of sponsor assets such as logos, graphics, and brand files to ensure materials remain current and accessible.
- Track sponsorship inventory and reconcile internal records to ensure accuracy across reports and materials.
- Collect and organize event performance data from vendors and assist in preparing post-event reports for sponsors.
- Conduct research on emerging sponsorship opportunities and assist with gathering vendor quotes, specifications, and timelines.
- Provide onsite event support when needed to ensure sponsorship activations are delivered according to plan.
- Assist with compiling and distributing post-event summaries and sponsor recap reports.
Qualifications:
- 1–3 years of experience in sponsorship coordination, partnerships, marketing support, events, or a related field.
- Strong organizational skills with the ability to manage multiple projects and shifting priorities.
- Advanced Microsoft Office skills, particularly Excel; experience with event management systems is a plus.
- Excellent written and verbal communication skills.
- High attention to detail and ability to meet strict deadlines.
- Bachelor’s degree in Marketing, Communications, Business, Event Management, or a related field (or equivalent professional experience).
- Willingness to travel as needed to support event operations.
