Key Responsibilities
Project Management & Coordination
- Manage project workflows, timelines, and deliverables across multiple stakeholders
- Oversee administrative coordination, reporting, and project controls
- Prepare monthly progress reports and invoices
Stakeholder & Workgroup Management
- Coordinate and support cross-agency workgroups (executive, senior staff, operations, communications)
- Develop meeting agendas, presentations, and supporting materials
- Facilitate meeting logistics, including scheduling, outreach, and follow-ups
- Document and distribute meeting notes and action items
Communications & Strategic Support
- Support communication planning, public information, and stakeholder engagement efforts
- Translate complex technical information into clear messaging for diverse audiences
- Develop presentations, briefing materials, and reports
- Maintain communication tools, contact lists, and shared resources.
Program & Project Support
- Assist with strategic planning and interagency coordination for major transportation projects
- Develop workplans, reports, and executive briefing papers
- Support process improvements and coordination frameworks.
Required Qualifications
- Minimum 5 years of experience in communications, project coordination, or related field
- Experience with stakeholder coordination across multiple organizations or agencies
- Strong skills in meeting facilitation, logistics, and documentation
- Ability to translate technical information into accessible communication
- Bachelor’s degree in communications, public administration, planning, or related field
Preferred Qualifications
- Experience in transportation, infrastructure, or public sector projects
- Familiarity with interagency coordination and public engagement strategies
- Strong proficiency in PowerPoint, collaboration tools, and digital communication platforms
