Our client is an engineering firm. They seek a Marketing Administrative Assistant to join their Manhattan, NY office.


Responsibilities

  • Prepare RFPs, RFQs, RFIs, and related proposal materials, ensuring accuracy and timely completion
  • Develop presentations for interviews and meetings using PowerPoint and other presentation tools
  • Handle general administrative tasks, including word processing, scanning, filing, database updates, calendar management, and coordinating mailings
  • Draft and review a wide range of correspondence and reports, such as memos, technical documents, proposals, agreements, and requests for insurance or change orders
  • Coordinate meetings, appointments, charitable donations, and company-sponsored events such as conferences, celebrations, and outings
  • Manage job postings across colleges, universities, and career platforms to support recruiting efforts
  • Update company brochures using InDesign and maintain employee business card inventory
  • Design marketing collateral, including brochures, newsletters, and presentations- using Adobe InDesign, Photoshop, and Illustrator
  • Oversee company website updates and social media activity across LinkedIn, Facebook, and other platforms
  • Support various operational needs by assisting with ad hoc projects, partner and company license management, and accounting tasks


Requirements

  • Bachelor's Degree in business or related field
  • 2-3 years of marketing/admin experience
  • Engineering, architectural, or law industry experience preferred
  • Experience with proposal writing, reporting, and documenting required
  • Ability to be in the office 5 days a week
  • Strong writing and typing skills
  • MS Office experience
